Insurance · Insurance Broker Management Software

One connected system for clients, placements, policies, renewals, claims and brokerage.

Manage client records, risk details, insurer quotes, placements, policies, endorsements, renewals, claims and brokerage in one system. Each client carries the policies held with several underwriters, the proposal forms and certificates behind them and the dates that fall due. Account handlers, producers and claims staff work from the same client file, and the finance team matches insurer statements and bordereaux against it.

  • Insurer lists, classes of cover and brokerage terms entered the way you trade
  • Client files, live policies and renewal dates migrated
  • Changes to forms, stages and reminder rules made by GullySystem staff when asked

GullySystem configures Insurance Broker Management Software for brokers placing cover with several insurers, across client files, quotes, policies, renewals, claims and brokerage. Each client file holds every policy, endorsement, declaration and claim. Renewal lists, premium receipts, pro-rata rebates and insurer statements stay linked to it.

Where it breaks today

What goes wrong before the software.

A client’s cover is spread across insurers

Motor sits with one underwriter, marine hull and cargo with another and employers’ liability with a third, and each policy lives in its own folder or portal. A policyholder’s full cover is never seen at once.

Quotes come back in different formats

Insurers reply by email, portal or a PDF slip. Comparing limits, deductibles, excesses and exclusions side by side is done by hand in a sheet.

Renewal dates depend on memory

Policies expire across the year, and without one dated list a client may learn of a lapse only when a claim is refused. That is too late. Renewal needs a calendar, not memory.

Claims are followed in email threads

A claim passes between the claimant, the insurer and a loss adjuster. Photographs, repair estimates and status are hard to find when the client calls.

Endorsements are not tied to the policy

A change in vehicles, stock, wageroll or sums insured is agreed by email. The policy record is updated later, or not at all, and underinsurance goes unnoticed.

Brokerage is checked against statements by hand

Each insurer sends a statement or bordereau in its own layout. Matching commission to policies and chasing differences takes a week every month.

How it runs

How the work flows through it, step by step.

  1. 1

    Enquiry and fact find

A client or an introducer asks for cover. The handler records the risk details, the existing policies, past losses and what the client needs protected.

  2. 2

    Market approach and quotes

The broker sends the risk to chosen underwriters and logs each reply. Terms are set side by side so the client sees the differences in deductible and wording.

  3. 3

    Placement and policy

The client picks an insurer and the cover is placed. The policy, its schedule, the cover note and its documents are filed under the client.

  4. 4

    Billing and premium

Premium and any fee are invoiced to the client, with instalments where agreed. Receipts are posted. The amount due to the insurer is tracked.

  5. 5

    Servicing and claims

Mid-term changes become endorsements. A claim is logged, passed to the insurer and followed through the adjuster’s visit, the reserve set and any subrogation recovery, right up to settlement and closure of the file.

  6. 6

    Renewal

The renewal list shows each policy before expiry. Handlers re-approach the market or confirm the existing cover, and the cycle repeats.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Clients and risk profiles

Hold each individual or business with its contacts, assets, turnover, risk details and the full list of cover arranged through you.

Enquiries and placement pipeline

Track each request from first contact to placed cover, with the handler, the class of cover, the introducer and the expected premium.

Insurer quotes and comparison

Send a risk to several underwriters, log each reply and set limits, deductibles, excesses, exclusions and premium side by side.

Policies and endorsements

File every policy with its schedule, period and sum insured, and record each mid-term change, declaration or cancellation as an endorsement on the same record.

Renewals and reminders

Work from a dated renewal list, send reminders to clients, and record whether each policy was renewed, moved to another market or allowed to lapse.

Claims handling

Log a claim against the policy. Track repair estimates, insurer replies and adjuster visits, and keep the client updated on status through salvage, reserve changes and final settlement.

Documents and certificates

Store schedules, cover notes, certificates, proposal forms and correspondence against the client and policy, and send copies by email on request.

Premium billing and receipts

Invoice premium, fees and instalments, post receipts as they arrive, and see which client money is due on to which insurer.

Insurer statements and brokerage

Record brokerage terms for each insurer and producer, load statements and bordereaux, and match payments to policies so differences are visible.

Producers and referrers

Keep sub-brokers, introducers and account executives with their clients and agreed share, and work out what each is owed.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Contact & Account Management

Each business or individual is held as an account with its contacts and risk details, and every policy placed through the firm hangs from it.

  • RFQ and Quote Comparison

One risk goes to several underwriters, each reply is logged against it, and limits, deductibles and premium appear side by side for the client.

  • Contract Management

Every policy is filed with its schedule, period and sum insured, and each mid-term change is recorded as an endorsement on the same record.

  • Service Reminders

Expiry dates feed a renewal list, reminders go to clients ahead of time, and the outcome of each policy is recorded.

  • Ticket Management

A claim becomes a numbered record with an owner, its repair estimates and insurer replies, so staff can answer a client without searching email.

  • Document Management

Schedules, cover notes, certificates, proposal forms and letters are stored against the client and the policy and can be emailed from the record.

  • Receipts Management

Premium and fees are invoiced and receipts posted, and the amount that must be passed on to each insurer is kept in view.

  • Commission and Incentives

Brokerage terms are held for each insurer and producer, and statements and bordereaux are matched to policies so shortfalls and shares owed are visible.

Each connection is scoped for your own account, one data flow at a time.

Who uses it

For claims staff

Log claims, chase repair estimates and adjusters, and keep each policyholder informed.

For finance

Reports

The numbers the owner asks for.

  • Renewals due by month, class and handler
  • Quotes requested and placed by underwriter
  • Policies in force by client and class of cover
  • Open claims by insurer, adjuster and age
  • Premium written by class and producer
  • Brokerage received against brokerage expected
  • Client balances and amounts due to insurers
Good fit

Who this is built for.

  • Commercial brokers who place property, liability, marine hull, cargo and fleet cover for businesses
  • Personal lines brokers who arrange home, motor and travel cover for individuals
  • Specialist brokers who work in one class such as construction, transport or professional indemnity
  • Brokers with several handlers who share clients and a renewal list
  • Brokerages that pay sub-brokers or introducers a share of brokerage
Honest answer

When it is not the right choice.

  • An agency that sells for a single insurer needs Life Insurance Agency Management Software or General Insurance Agency Management Software.
  • An insurer that underwrites risks and pays claims needs a policy administration system, which is a different product.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Insurers and classes of cover

Your panel of underwriters, each class of cover and the risk fields that class demands, such as wageroll or vehicle schedules, are keyed in to mirror how you place business.

Brokerage and fee terms

Commission rates, fees and producer shares are set for each insurer and class, as your agreements describe them, with rebate and pro-rata rules for mid-term cancellations.

Client money handling

Rules for premium held for clients and passed to insurers follow your own procedures and local requirements. They are reviewed during implementation with your finance lead, before any receipt is posted.

Letters and templates

Quote letters, renewal notices, cover notes and certificate wording are set up in your words and your language.

Records brought across

Spreadsheets or your present system feed in client files, live policies, renewal dates and open claims, and a handler reviews them against the original schedules first.

Hosted by GullySystem

GullySystem hosts the system, so handlers, producers, claims staff and finance read one client file.

Common questions

Questions owners ask before a demo.

Does it connect directly to insurer systems?

Not as a standard feature. Quotes, statements and bordereaux are loaded by file or entered by hand. A direct feed from a particular insurer is scoped separately.

How do we compare quotes from different insurers?

Each reply is logged against the same risk with limits, deductibles, excesses, exclusions and premium. The handler sets them side by side and sends the client a summary.

Can one client hold policies with several insurers?

Yes. The client file lists every policy whoever issued it, with period, sum insured, premium and the handler responsible. A reinsurance or coinsurance split is noted on the schedule.

How are renewals tracked?

Each policy has an expiry date and feeds a renewal list. Handlers see what is due, send reminders and record the outcome for each one.

Can claims be followed through to settlement?

Yes. A claim record holds repair estimates, insurer replies, adjuster notes and status changes, and the client can be updated from it.

Can we pay sub-brokers a share of brokerage?

Yes. Each producer or introducer has an agreed share by insurer and class. The amount owed is worked out from brokerage actually received.

Does it handle premium held on behalf of clients?

It records premium received, amounts due to insurers and dates paid on. Whether those rules match your local requirements is reviewed during implementation, with your finance lead and compliance officer present.

Can client files be brought across from our spreadsheets?

Yes. Your spreadsheets supply client names, policy details, renewal dates and open claims, and a handler compares a sample against the original schedules before anyone relies on it.

Who owns the client data?

You do. The quotation states how client files and policy histories can be handed back to you, so nothing is left to argue about later.

How is the cost decided?

The quotation reflects your handlers, your producers and the insurers you deal with. Before that, we walk through a demonstration built on your own client types, from fleet owners to householders.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
