Insurance · General Insurance Agency Management Software

One connected system for policies, renewals, claims and commission.

Manage a general insurance agency’s clients, policies, renewals and claims in one system. Motor, health, fire and travel schedules sit under each client or family, whichever insurer issued them. Quotes and renewal calls sit beside the policy. Brokerage is checked against what each insurer paid.

  • Lines of cover, insurers and brokerage rates are entered as your agency holds them, with your own policy numbering kept against every schedule and endorsement
  • Client list and running policies migrated from sheets
  • Set up and supported by one team

Motor, health, fire and travel policies sit under one client in this general insurance agency software, set up by GullySystem for multi-insurer agencies. It is also the agency’s CRM. It keeps renewal dates, claims from intimation to settlement, endorsements, premium receipts and brokerage statements, so owners and servicing staff read the same file. Statements are matched to policies sold.

Where it breaks today

What goes wrong before the software.

Each insurer holds only part of the book

Each portal shows its own slice. No single screen lists the hatchback, the family floater and the shop burglary cover that one policyholder holds with the agency, whichever insurer issued the schedule.

Renewal dates live in a sheet

Expiry dates are typed by hand. A policy added late, or never added, lapses without a call, and the accumulated no-claim bonus is lost with it.

Vehicle and member details are retyped

The same fields are typed again. Registration number, previous insurer, insured declared value, add-ons such as zero depreciation and member ages are entered afresh for every quote and every renewal, which invites errors.

Claims are followed from memory

Nobody owns the file. Intimation, documents sent, surveyor visit, salvage and settlement are tracked across phone calls and chat messages, and nobody can say who last called the insurer.

Receipts and endorsements are scattered

Papers sit everywhere. Cheque and transfer details, mid-term endorsements, cover notes and policy copies lie in different folders and on different phones, so a dishonoured cheque is found weeks later.

Brokerage is hard to reconcile

Each insurer pays differently. Rates and payment dates differ by insurer and by product, so matching a statement to the policies sold waits until someone has a free week and a calculator.

How it runs

How the work flows through it, step by step.

  1. 1

    Enquiry

A client asks for new cover. The agency records the vehicle, the members to be insured or the property, with its sum insured and any hypothecation to a bank.

  2. 2

    Quotes

Quotes from every insurer the agency holds an appointment with are kept against the enquiry and compared on premium, deductible and add-ons. The client picks one.

  3. 3

    Policy issue

Policy issue is recorded. Policy number, insurer, premium, sum insured and period go in, and the schedule and cover note are stored with the client, ready for any later endorsement.

  4. 4

    Renewal

A reminder is sent before expiry. The agency collects fresh details, shows the quotes again and records the renewed policy, with any porting, loading or lapsed no-claim bonus noted against it.

  5. 5

    Claim

A claim is opened against the policy. Hospitalisation papers, surveyor visits, calls and insurer or TPA replies are logged until the claim is settled or closed.

  6. 6

    Brokerage

Statements are matched to policies sold, and any policy not paid for is listed so a short payment is chased.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Client and family records

Keep contact details, identity papers and family or business links for every client, so all their policies are listed together, including those held by spouses, parents and the firm.

Learn more

Policy register

Record every policy with its insurer, number, line of cover, premium, sum insured, endorsements and period, then search it across the whole agency by client, vehicle or insurer.

Learn more

Motor policy records

Hold registration number, make and model, chassis details, previous insurer, no-claim bonus, insured declared value and add-ons such as zero depreciation, pillion cover or windscreen glass for each vehicle.

Learn more

Health policy records

Keep members, ages, sum insured, waiting periods, pre-existing conditions, copay terms and portability history for individual and family floater policies, with the cashless hospital network noted.

Learn more

Fire and travel policies

Fire cover records the insured property, stock, machinery and sum insured, with perils such as riot and earthquake. Travel cover holds the traveller, trip dates, destination and baggage cover.

Learn more

Insurer quotes

Store quotes from each insurer against the enquiry, compare premium, deductible and cover side by side, and note which quote the client chose and why the others lost.

Learn more

Renewals and reminders

List every policy by expiry date and send WhatsApp, SMS or email reminders to the policyholder until the renewal is recorded against it, so no motor policy lapses unnoticed.

Learn more

Claims follow-up

Log each claim from intimation to settlement, with documents, calls, surveyor or TPA replies, any subrogation, salvage and the next step, so a policyholder is answered at once.

Learn more

Premium receipts

Record premium collected from clients and paid across to insurers, with cheque, transfer or online details. Each payment gets a receipt. Dishonoured cheques are flagged, and the payer is called.

Learn more

Commission statements

Enter each insurer’s brokerage statement and match it to the policies sold, so policies where the payout differs from the agreed rate, or is missing, are listed for accounts.

Learn more

Policy and KYC document vault

Store policy schedules, endorsements, registration certificate copies, identity papers and claim files. Each is filed under both client and policy, so a search by either name finds it.

  • Receipts Management

Premium collected from clients and paid on to insurers is recorded with cheque, transfer or online details, and each payment gets a receipt.

Honest answer

When it is not the right choice.

Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your insurers and lines of cover

The insurers you hold agencies with, the lines you sell and the fields you collect for each go in first.

Commission rates

Rates by insurer and product are set the way your agreements read, so a statement can be matched against them. What the insurance regulator or an insurer permits is a matter for your agency and its adviser.

Clients and policies migrated

Client lists arrive from your sheets. Running policies and expiry dates follow, and your team checks every row before launch.

Reminders and receipts

Reminder wording is written with you. The receipt format follows, in the languages your clients use.

Hosting for the whole team

GullySystem hosts the system, so everyone in the agency works from the same client list, and our team carries out any field or rate change you ask for.

Common questions

Questions owners ask before a demo.

Is this an insurance CRM for agents?

Yes, in the sense agencies use the word. Enquiries, quotes, renewal calls, claims and every policy a client holds sit in one place, though issuing the policy itself still happens on the insurer’s portal.

Is this for general insurance only, and can we add a line of cover?

Built for motor, health, fire and travel. A further line you sell, such as shop burglary, marine cargo or an office package, is set up with the fields it needs. Life insurance advisors have a separate product.

Does it connect to insurer portals?

Not by default. Policies are recorded here. Whether a link to an insurer’s portal is possible depends on what that insurer offers, and this is checked during scoping.

Can sub-agents or point of sale persons log in and see only their own clients?

No. Logins are for the agency’s own staff, who work from one shared client list. A sub-agent hierarchy, with its own client view and payout split, is not part of this product.

Can it remind clients about renewals?

Yes. Policies are listed by expiry date. Reminders reach policyholders over WhatsApp, as a text or by email, and you decide how many days ahead the first one goes.

Can we track a claim from start to finish?

Yes. Each claim holds its intimation, documents, calls, surveyor notes and insurer or TPA replies. Staff see the next step, who takes it and which papers are missing.

Does it check brokerage against insurer statements?

Yes. You enter each statement and the system matches it to the policies sold. Policies paid below the agreed rate are listed.

Does anything go into our accounting software?

Not in the standard set-up. Your accountant takes receipts and brokerage figures from the reports kept here. An accounting export is quoted separately, once the agency’s ledger heads are fixed.

Who owns the client information held here?

You do. The route for taking every record out is settled before work begins.

What does it cost?

No price is published. It depends on staff, policy volume and set-up, so you watch it run first and the written proposal states the cost afterwards.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
