Health Policy Records for General Insurance Agencies
A health policy covers people, so the record is built around members. Each one carries an age, a sum insured and a history that the next renewal or port will need.
Members and cover
A family floater and an individual policy are entered differently. The record keeps the structure the insurer issued, down to the sum insured shared between members and any limit set on one person.
Group and corporate policies
A small firm may buy a group policy for its staff. It is still one policy. The record holds the employer, the policy and a member list. Joiners and leavers during the year are logged with dates. Each one changes the cover, and the insurer’s endorsement is stored beside the entry for later reference.
Where it leads
The expiry date feeds the renewal list. Members’ ages feed the renewal quote, because the premium for a floater is read against the eldest member’s age band as the insurer’s rate sheet sets it. A hospital claim starts from the same record. The claims team has the card number and the insurer at hand.
What the system does not do
It holds no medical records. Only what the policy needs is kept. Declared conditions are one example. Underwriting, acceptance of a proposal and cashless approval belong to the insurer. Who sees sensitive health fields is set by the agency, and the agency can restrict them to the servicing and claims staff who handle that line.
Frequently asked questions
Can we record a family floater with several members?
Yes. Each member is listed with date of birth and relation, under one policy and one sum insured.
Does it store medical reports?
Only as documents the agency chooses to attach to a claim. The health record itself holds the policy facts, not a patient chart.
How are corporate group policies handled?
The employer is the client, the group policy is the entry, and the member list sits beneath it with joining and leaving dates.
Can staff be kept from seeing health details?
Yes. Which roles open the member and condition fields is settled during implementation and can be revised on request.
