General Insurance Agency Connections to WhatsApp and UPI

The agency system links to the message services and payment options that clients already use. Anything beyond them, including links to insurer portals, is agreed during scoping and listed in the proposal.

What it connects to

WhatsApp

Renewal reminders, quote comparisons, receipts and policy copies go to clients over WhatsApp. A WhatsApp Business account is needed, and the agency’s own account is connected during onboarding.

SMS

Reminders can go as text messages to numbers held on the client record, for clients who do not use WhatsApp.

Email

Quotes, policy copies and receipts can go by email to clients and to a corporate client’s accounts team.

UPI and payment gateway

A premium paid by UPI or through a gateway is recorded against the policy and the receipt.

Tally export

The accountant can be given receipts, remittances and commission as an export, in a format agreed during scoping.

What depends on the other system

Messages depend on the sending account. They also depend on a working number for each client, and an old or wrong number on the record means a reminder that is sent but never read. Payments depend on the gateway or bank the agency already uses. Insurer portals decide whether any data can pass to and from them. The software records what staff enter. It does not replace a portal.

Insurer portals and rate feeds

Policies are issued on each insurer’s own system, and most agencies enter the result by hand. Some insurers supply statements as spreadsheets. Those can be imported. Whether any insurer offers a data feed to an agency is for that insurer to say, so each one is raised during scoping.

Confirmed during scoping

  • Which channels are started first for reminders and receipts
  • Whether the agency already has a WhatsApp Business account
  • Which payment gateway or UPI arrangement it uses
  • Which insurers send statements in an importable form
  • What format the accountant needs for the export
FAQ

Frequently asked questions

Do we need a WhatsApp Business account?

Yes, but only for the messages that go out from here. It is set up with you, and an agency can begin with SMS and add WhatsApp later.

Will it log in to insurer portals for us?

No. Staff issue policies on the portals as they do today. A data link depends on the insurer, and is discussed during scoping.

Does anything go into Tally by itself?

Not built in. The accountant reads reports held here, and a Tally export is quoted separately after the first workshop.

Is the existing client sheet imported?

Yes. Clients, policies and expiry dates come in from your sheets, and your team checks what was brought across before launch.
