Motor Policy Records for General Insurance Agencies

Motor is the line that renews every year, so the vehicle details are kept once and reused. Registration, previous insurer, no-claim bonus and declared value sit on each vehicle record.

Vehicle and policy details

A motor entry is built around the vehicle, not only the client. Cars and two-wheelers change owners. The policy follows the registration number, and a renewal for a second-hand vehicle starts from the previous owner’s history as the new owner reports it.

Vehicle particulars

Registration number, make, model, variant, fuel, year of manufacture, engine and chassis numbers. Staff copy these from the RC once. That is all.

Previous insurer and policy

The last insurer, the previous policy number and its expiry date, which a new insurer asks for when a policy moves.

No-claim bonus

The bonus earned and whether a claim was made in the last term, so the renewal quote starts from the right figure.

Declared value and add-ons

The insured declared value and any add-on cover, such as zero depreciation or engine protection, bought with the policy.

Own damage and third party

A policy is noted as package or third party only, with the period of each part.

Renewal without retyping

When a motor policy nears expiry, the quote form opens with the vehicle already filled in. The caller confirms the odometer, any new modification and whether a claim was made. A regular client is not asked for the chassis number again.

Who uses it

Renewal staff use it most. Servicing staff use it when a vehicle is sold and the owner’s name must change on the policy, the receipt and the reminder list. Claims staff open it to read the insurer, the policy period and the registration number for an accident report.

What the client decides

  • Which vehicle classes the agency handles, such as private cars and two-wheelers
  • Whether commercial vehicles are recorded under the same line
  • Which add-ons are listed for staff to pick
  • How a transfer of ownership is recorded
  • Whether a vehicle photo is stored with the record
FAQ

Frequently asked questions

Is the vehicle checked against any government database?

No. Staff enter the details from the RC and the previous policy. Any lookup against an outside service depends on the provider and is checked during scoping.

What happens when a vehicle is sold?

The policy is endorsed or closed according to the insurer’s process, and the agency notes the change and date on the vehicle record.

Can one client hold many vehicles?

Yes. A family with two cars and three two-wheelers sees all five vehicles, each with its own expiry, under one client.

Are commercial vehicles included?

They can be, if the agency sells them. The fields for goods carriers and taxis are listed with you during set-up.
