Reports for General Insurance Agency Owners and Managers

These reports draw on the policies, renewals, claims and commission statements an agency already records. Every report is built on the live entries, so a figure changes as staff update a policy or a claim.

Several books in one view

In many agencies the renewal sheet, the claims diary and the commission file are kept apart. A question about the business then needs three files and an afternoon. That is slow. The figures come straight from entries that staff already make. One screen can answer the question, and the person asking can then filter the answer by insurer, line of cover or staff member without asking anyone to prepare it.

The reports

Renewals due

Policies expiring in a chosen window, by date, line of cover and insurer, from the policy register and the renewal list.

Lapsed policies

Policies past expiry with no renewal recorded, with the client and the last call logged.

Open claims

Claims by stage and age, from the claims log, with those awaiting documents shown separately.

Premium collected and payable

Premium received from clients and amounts still to be remitted to each insurer, from the premium receipts.

Commission due, received and short paid

Commission by insurer, with policies where the statement differs from the rate or lacks the policy.

Policies by insurer and line

The size of the book by insurer, line of cover and staff member. Counts only.

Who acts on them

Renewal callers work from renewals due and lapsed policies. Claims staff do not. Claims staff work from open claims. The accountant reads premium and commission. Nobody else needs to. The owner reads the book by insurer, which shows where the agency depends on one company for most of its policies.

What the figures reflect

A report can show no more than the entries made behind it. A policy that was never recorded will not be reminded. A statement that has not been keyed in cannot be matched. An odd figure usually points to a missing entry. Whether a figure is right for the books is a question for the agency’s accountant.

FAQ

Frequently asked questions

Are the figures live?

Yes. Each report reads the current entries, so a renewal recorded this morning is gone from the due list this afternoon.

Can we add a report that is not on the list?

Yes, wherever the data is already recorded here. Any extra report is fixed in the first workshop with the agency.

Can a report be limited to one staff member’s clients?

Yes. Each person gets a different view, so a caller sees assigned clients and the owner sees everything.

Can reports be exported to Excel?

Yes. A report can be downloaded for the accountant or for a meeting with an insurer’s branch manager.
