General Insurance Agency Software Views by Role

An insurance agency has owners, servicing staff, renewal callers and claims staff who each need a different part of the same record. Owners, servicing staff, callers and claims staff each land on the screens that suit their work.

One policy, five roles

Agency owner

Reads the book by insurer and line of cover, renewals due, open claims, and commission received against commission due.

Policy servicing staff

Open client records, record new policies and endorsements, collect premium and issue receipts at the counter or by phone.

Renewal and sales staff

Work the renewal list, enter insurer quotes, and note each client’s decision and the call that followed.

Claims staff

Log claims, tick off documents, record insurer or TPA replies and see which claims need a call today.

Accountant

Reads premium receipts, remittances to insurers and matched commission statements for the books.

Through a motor renewal

A renewal caller sees a policy expiring in a fortnight and rings the client. The vehicle details are already on the record. A quote is entered from there, with the previous insurer and no-claim bonus already filled in, so the caller is not asking questions the agency has asked before. The client accepts, and servicing staff record the new policy and issue a receipt. The accountant later sees the premium. The owner follows. The owner sees the commission once the insurer’s statement is entered.

Through a claim

A client reports an accident to servicing staff, who open a claim from the policy. Claims staff take over, collect papers and log each call. Renewal staff see an open claim on the client’s record, which tells them to hold a renewal call until the claim is settled.

What the agency decides

  • Which roles exist and who holds each one
  • Which staff may see health and identity documents
  • Who may change a commission rate or a policy’s premium
  • Whether sales staff see only their own clients
  • Who may close a claim or mark a policy lapsed
FAQ

Frequently asked questions

Can sales staff see only their own clients?

Yes, if the owner sets it that way. Many agencies let each caller see assigned clients while the owner and servicing desk see the whole book.

Can the accountant see client health details?

Only if the owner gives permission. The accountant’s usual view is receipts, remittances and commission, without member or claim detail.

Is there a view for a sub-agent?

Yes, where the agency works with sub-agents. A sub-agent can be limited to the policies they placed and the share due to them.

Who changes what a role may open?

Who sees what is settled in the first workshop. Our team makes any later change when asked.
