Policy Register for General Insurance Agencies
The policy register lists every policy the agency has placed, across insurers and lines of cover. It answers which policies are running, which have lapsed and which are due next.
What each policy entry records
Each entry is one policy for one client. It carries the facts that staff are asked about on calls, and the facts that decide a renewal.
Searching the book
Staff search by client name, phone number, vehicle number, policy number or insurer. A filter narrows the list to one line of cover or to policies expiring in a chosen month. The owner can read the whole book by insurer. Results appear at once.
Where the register leads
The expiry date on each entry feeds the renewal list. The premium on the entry is what premium receipts and commission statements are matched against. A claim is opened from the policy, so it carries the right insurer and number.
What the register does not do
It does not issue policies. A policy is issued on the insurer’s own system, and the agency records the result here. Which products and add-ons exist is for each insurer to say, and the agency decides how its own fields are named.
Frequently asked questions
Is the policy issued from this system?
No. The insurer issues the policy on its own channel. The agency records the details here, along with a copy of the policy.
Can a lapsed policy be kept in the list?
Yes. A lapsed or cancelled policy stays on the register with its status, so a caller can see what the client held before.
How are endorsements recorded?
Each endorsement is added to the policy with its date and a note, and the endorsement copy is stored with the policy documents.
Can we add a line of cover we sell later?
Yes. A new line is added by our team with the fields you need, and existing records stay as they are.
