Move each borrower from first enquiry to funded loan without losing a condition or a deadline.

Loan officers originate mortgage and personal loans, working leads from referral partners and past clients. Applications, income documents, rate locks and underwriting conditions are usually tracked in an inbox and a pipeline sheet. The loan officer product keeps each borrower, loan file, document request, lock date and commission on one record, so a lapsing lock or an open condition is seen early.

At a glance

A loan officer works a pipeline of borrowers at different stages. Some are asking about rates and a buydown. Some have a signed application and are waiting for a processor to open the file. A few are days from closing with one condition still open, perhaps a gift letter or a missing bank statement.

Most keep this in a mobile phone, an email inbox and a sheet of lock dates. Referral partners ask for status. Answers come from memory, and the borrower hears the same answer a day later.

How the work runs today

The loan officer takes enquiries from referral partners such as estate agents, builders and conveyancing solicitors, and from past clients. Each borrower is asked about income, assets, debts and the property, and whether the loan is conforming or jumbo. A rate and loan estimate are quoted, the application is taken, and the supporting documents the lender needs are requested, from payslips to tax returns. Pre-approval letters follow.

Processors check the file, order verifications, valuations and appraisals, and send it to underwriting. Underwriters return conditions that the borrower must clear, from a seasoning query on a deposit to proof of homeowners insurance. Each one comes back through the officer. The closing team then books the signing and the funds.

Lock dates, rate expiry and closing deadlines drive the week. After funding, the officer thanks the referrer. The commission due on the loan depends on the plan the lender set for that quarter, the branch split and any buydown cost.

Where it breaks

What goes wrong for loan officers without a proper system.

Borrower stages are held in an inbox

A borrower who sent payslips last Tuesday and one who has not replied look the same in a mailbox. Priority is set by whoever wrote last, not by whose closing date is nearest or whose appraisal is back.

Lock dates and rate expiries are missed

The lock date and its expiry are noted in a sheet or on a calendar. An extension is requested after the lock has lapsed, and the borrower pays for it through a worse rate or a float fee.

Underwriting conditions are not listed

Conditions come back by email, one at a time, and nobody keeps the open list. The closing date slips while the last condition is found, such as an employer verification or a flood certificate. The borrower asks why nobody said so earlier.

Referral partners get no status

An estate agent or a builder asks where a borrower stands. Three files must be opened to answer, and the partner may send the next borrower to another officer who replies faster.

Commission is worked out at month end

Loan amounts, rate splits and branch fees are added up by hand after funding. Disputes follow because the history of each file, from the first quote to the final buydown, is hard to rebuild months later.

What the software does

What we would build for loan officers.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Borrower and referral partner records

Hold each borrower with household, employment, co-borrower or guarantor and property details, and each referral partner with the loans they have sent. A thank-you or a status call then starts from the full history.

Application and document checklist

Create the checklist for the loan type, request payslips and bank statements, and see which are in, which are late and which need replacing because a page is missing.

Pipeline by stage

Show every loan from enquiry to funded on one board, with the amount, the next step, the owner and the days in stage. Stalled files stand out. Nothing hides.

Rate quotes, lock dates and expiries

Record the quote and the lock, with its expiry date and any float or buydown. Warn the officer before a lock lapses. Warn again when a closing date moves.

Conditions and closing tasks

Break underwriting conditions into separate items, each given an owner and a due date. Follow the valuation, title and insurance steps through to funding, so the last item is never found on signing day.

Borrower and partner updates

Send status messages to the borrower and the referral partner from the loan file, with each message saved against it. Estate agents and builders stop phoning for news.

Commission and branch split

Work out the officer’s commission from the funded amount, the rate and the compensation plan, with the branch split taken off. The month’s statement follows and can be queried line by line.

Common questions

Questions loan officers ask before they call.

Is this the same as a loan servicing system?

No. Servicing collects instalments after funding. This product covers the stretch before it: leads, applications, documents, locks, conditions and closing. Servicing can be run in our loan management product, linked by borrower, so a funded file moves across without retyping.

Does it pull credit reports or run underwriting?

No. Credit pulls and automated underwriting stay in your lender’s systems. Here you record the result, the conditions that come back and the documents that answer them, such as an appraisal or a verification of employment.

How is borrower information kept private?

Each person sees only what their role needs: a processor opens assigned files and an officer opens their own pipeline. Every view and change is recorded, and your data protection rules are built in with you.

Can a team of officers share referral partners?

Yes. A partner can be assigned to one officer or shared across a team. Reports show the loans each partner has sent. They also show who handled each one.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
