Finance and insurance · Software for payment service providers

Hold merchants, settlements, refunds and chargebacks on one record, ready for the books.

A payment service provider onboards merchants, routes transactions through banks and partners, and settles funds on a schedule. The money moves in one system while onboarding, disputes and support run in sheets and email. The software we would build keeps the merchant file, rate card, settlement runs, refunds and chargebacks together, so finance can see what is due, to whom and why.

At a glance

Payment businesses run on two kinds of record. One is the transaction stream from your gateway or processing partner. The other is everything around it: who the merchant is, what rate applies, what is settled, what is held and what is disputed.

The transaction engine is not rebuilt here. What gets built is the back office around it, so operations, risk, support and finance read the same merchant record.

How the work runs today

A merchant applies, and the team collects business papers, bank details and website information, then checks them and decides whether to approve and at what rate. Documents are chased on email and tracked in a sheet.

Each day or cycle, transactions are settled to merchant accounts after fees. Finance matches the partner bank’s statement against the settlement report, and differences are traced by hand.

Customers dispute payments, merchants ask where their money is, and refunds are raised. Chargebacks arrive with a response deadline set by the card network or partner, and the evidence has to be gathered in time.

Where it breaks

What goes wrong for payment service providers without a proper system.

Onboarding stalls on documents

A merchant file waits for one missing paper, and nobody sees how many files are in that state. Applicants go elsewhere.

Rate cards sit in a sheet

A negotiated rate for one merchant is applied by hand, and a settlement is calculated at the standard rate. Finance reverses it later.

Settlement does not match the bank

The settlement report and the partner statement differ by a few entries, and tracing them takes a day. The cause is rarely recorded.

Chargeback deadlines slip

A dispute arrives with a response date and the evidence is scattered across emails. A late reply means a lost case.

Merchants ring to ask about money

Support cannot see held funds, refunds in progress or the next settlement date. Each call goes to finance.

What the software does

What we would build for payment service providers.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Merchant onboarding file

Keep application, documents, checks and approval on one file per merchant, with a checklist, a named reviewer and the status of each paper.

Rate cards and pricing

Record the fee by payment mode and merchant, with effective dates, so settlement is calculated from the rate in force on the transaction day.

Settlement runs

Build each settlement from imported transactions, fees and holds, and show the amount per merchant before it is released. Release itself happens in your banking process.

Reconciliation against partner files

Match transaction, settlement and partner statement files, and list differences with a reason and an owner against each one.

Refunds and holds

Raise a refund or a hold against a transaction or merchant, record who approved it, and show its effect on the next settlement.

Chargeback and dispute desk

Log each dispute with its response date, collect evidence against it, and show a list sorted by what is due soonest.

Merchant statements and support view

Give merchants a login for settlements, refunds and statements, and give support the same view so they answer without asking finance.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, Tally reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions payment service providers ask before they call.

Do you build the payment gateway itself?

No. This is the back office around your gateway or processing partner: merchants, rates, settlements, disputes and statements. Moving money stays with your existing licensed arrangements.

Can it read files from our partner bank?

It can read the statement and report files your partners provide, in the formats they use. A direct feed depends on what the bank offers, so it is quoted separately.

Does it make us compliant with payment rules?

Not on its own. It keeps the merchant papers, approvals and logs you may be asked for. What applies to your licence is a question for your compliance adviser.

Will it post entries into the accounting software?

Not directly. A settlement and fee export for your accountant can be written at set-up, priced separately.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
