GullySystem
Finance and insurance · Software for mutual fund distributors

My SIP book is growing, but I find out about a bounced SIP when the client complains.

Mutual fund distributors work from CAMS and KFintech mailbacks, a back-office package and a WhatsApp chat per client, so SIP bounces surface late. GullySystem adds the CRM and follow-up layer your back office lacks and connects it to what you already run. It starts with a free technology audit of your mailbacks, KYC list and brokerage reports.

At a glance

Your book is hundreds of SIPs across families, AMCs and folios, and it earns trail only while those SIPs keep running. Keeping them running is mostly follow-up work.

Most distributors already pay for a back-office package that reads mailbacks well. We usually build around it: leads, tasks, reminders and the reports it doesn’t give you.

How the work runs today

A new investor needs KYC checked, a nominee, a bank mandate and the first SIP set up on the exchange platform. Paperwork moves on WhatsApp, and you check the mandate status on the portal by hand.

Each day the mailbacks show new purchases, redemptions, SIP registrations and bounces. Someone scans them, calls the client whose SIP failed, and chases the one whose KYC is on hold. In March, the same person pulls capital gains statements for every family’s CA.

Brokerage arrives from each AMC or through a channel partner, and you match it against your own AUM report to see what is missing.

Where it breaks

What goes wrong for mutual fund distributors without a proper system.

Bounced SIPs are spotted too late

A few missed instalments later, the SIP is cancelled and the client has quietly stopped investing.

KYC on hold blocks the next purchase

A client’s KYC shows on hold or a nominee is missing, and you learn only when a fresh transaction gets rejected.

Leads die in my phone

A referral asks about a child’s education plan, you say you will send options, and the chat is buried by Friday.

Brokerage never matches the AUM report

Trail rates change by scheme and date, and nobody has time to check which folios paid short.

What the software does

What we would build for mutual fund distributors.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

SIP bounce and stoppage alerts

Mailback entries flagged each morning with the client’s number, so the call happens before the next instalment.

KYC and nominee status board

Every investor’s KYC, mandate and nominee status in one list, with the missing item named.

Lead and follow-up tracker

Enquiries with source, goal and next action, and a reminder on the day you promised to call.

Family view of folios

All folios of a family grouped, with SIP dates and goals, ready for a review meeting.

Brokerage reconciliation

Expected trail by scheme compared with what arrived, with short-paid folios listed.

Year-end statement pack

Capital gains and holding statements collected per family and sent to their CA on request.

How it works

How the work runs from Bengaluru for your city.

  1. 01

    The audit, by call

A screen-share and a look at the sheets, Tally reports and WhatsApp groups your team uses. No travel needed.

  2. 02

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 03

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 04

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 05

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions mutual fund distributors ask before they call.

Will this replace my MFD back-office software?

Probably not, and it shouldn’t. Those packages read mailbacks and build portfolio reports well. We add the CRM, alerts and reconciliation they are weak at, and connect to what you already use.

Can my brokerage income go into Tally?

Yes. Brokerage received by AMC can post as receipt entries in Tally, with GST where your registration requires it.

Who can see my clients’ PAN and bank details?

Only the logins you allow. Staff can be limited to their own clients, sensitive fields can be masked, and every export is logged. We don’t claim any regulatory approval for the software itself.

Is it worth it for a one-person practice?

Sometimes a good back office plus a shared calendar is enough. The free technology audit will say so plainly if that’s your case.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
