Limits, drawdowns, security and repayments held on one file for each borrowing company.

Run borrower applications, sanctioned limits, drawdown requests against invoices or stock, security documents, repayments and overdue follow-up in one system built for a company lender. One file per borrower shows its limit, what is drawn, what is due and which conditions are about to lapse. Credit, operations and collections read the same figures. Your credit team still makes every decision.

  • Limit types, pricing fields and condition lists entered the way your credit policy defines them
  • Open limits, drawings, security and past receipts migrated and checked against your totals
  • Roles for sales, credit, operations and collections set with your own team

Applications, sanctions, drawdowns and repayments for company lenders all run on Business Finance Provider Management Software, configured by GullySystem. Each borrower file holds the sanctioned limit, the drawings against it, the security taken, the conditions with due dates and every receipt matched to the bank. Credit decisions stay with your credit team. Group exposure reads across related companies.

Where it breaks today

What goes wrong before the software.

The sanctioned limit and its use sit in different files

Sanction notes live in a folder and drawings in a sheet. Someone adds them up before every request, so available headroom is an estimate made under time pressure.

Conditions of sanction depend on memory

Insurance cover, stock statements, audited accounts and charge registration each carry a date. A lapsed condition surfaces at the annual review instead of on the day it fell due.

Drawdown checks are repeated by hand

Operations compares each request with the invoices offered, their ages, the buyer concentration and the limit. A missed rule is found after the money has gone out.

Receipts arrive from accounts the borrower rarely uses

A transfer lands from an affiliate or a customer of the borrower. It waits in a suspense list until somebody recognises the name and links it to a file.

Related borrowers hide the group’s total

Three companies owned by one family borrow on separate files. Their combined exposure is added up only when a committee asks, and by then the figure is already stale.

Collections works from a list that is days old

The overdue report is run weekly. A borrower who paid yesterday is called again, and a real slow payer escapes a call for several days.

How it runs

How the work flows through it, step by step.

  1. 1

    Application

A relationship manager registers the company, its directors, the amount and purpose requested, and the financial statements and bank records received. The file opens with a checklist of papers still missing.

  2. 2

    Credit review and sanction

The credit team records its analysis and recommendation. An approver signs the sanction with the limit, tenor, pricing, security and conditions, and the terms become the borrower’s limit record.

  3. 3

    Documentation and security

Agreements, guarantees, charges and insurance are listed against the file with their dates. The limit opens for use only when the required documents are marked complete.

  4. 4

    Drawdown

The borrower asks to draw against invoices, stock or an amount. Operations checks the request against headroom, document age and conditions, and records the approval before release.

  5. 5

    Repayment and charges

Interest, fees and principal fall due on the schedule. Each bank credit is matched to a borrower and a due item, and anything unmatched stays on a short list with an owner.

  6. 6

    Review and renewal

Conditions are checked on their dates, periodic reviews are scheduled, and an expiring limit appears in the renewal list well before the sanction ends.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Borrower file and group view

Hold each company with its directors, related entities, documents and contacts. Link related borrowers into a group so total exposure across the owning family reads in one place.

Applications and credit notes

Register an application, track the papers received against a checklist, and keep the credit analysis, recommendation and approver’s decision attached to the file.

Sanction, limit and conditions

Record the sanctioned limit, tenor, pricing and each condition with a due date. Lapsed and approaching conditions appear in a daily list by borrower.

Drawdown requests against the limit

Log each request against the invoices or stock offered, test it against available headroom and the age rules you set, and keep the approver’s note with the request.

Invoice and receivable schedule

For invoice-backed limits, list every invoice financed with buyer, amount, due date and advance given, and mark it settled when the buyer’s payment is matched.

Security and documents register

List charges, guarantees, property, stock and insurance for each borrower with values and renewal dates, and store the signed papers against the entry.

Interest, fees and repayment schedule

Calculate interest and fees on the drawn balance by the method your agreement states, and publish the schedule of what falls due and when.

Receipts matched to the bank

Match each bank credit to a borrower and a due item. Keep unmatched credits on a short list, assigned to a named person, until they clear.

Overdue follow-up and promises

Group overdue amounts by days past due, assign each account to a collector and record every call, promise date and outcome against the file.

Reviews and renewals

Schedule periodic reviews, record stock inspections and visit notes, and show limits nearing expiry so renewal papers start early.

Reports for credit and management

Read outstanding by borrower and by group, limit utilisation, overdue ageing, conditions lapsed and concentration by sector or buyer.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Contact & Account Management

Companies, their directors and related entities are kept as linked records, so a related group’s combined position reads without a separate sheet.

  • Workflow and Approvals

A recommendation moves from analyst to approver by level, and the sanction is recorded inside the file with the name of whoever signed it.

  • Contract Management

Each sanction keeps its limit, tenor and conditions with due dates, and lapsed or approaching conditions are listed daily by borrower.

  • Credit Limits and Control

Every request is tested against sanctioned limit, amount already drawn and the age rules set for invoices before an approver releases funds.

  • Document Management

Charges, guarantees and insurance papers are stored against the security entry with values and renewal dates, so a missing document stops a limit opening.

  • Bank Reconciliation

Imported bank credits are matched to borrowers and due items, and unmatched ones stay on a short list with a named owner.

  • Collections and Payment Follow-Up

Overdue accounts are grouped by days past due and assigned to collectors, who log calls and promise dates that stay on the borrower’s file.

  • Finance and Accounting Reporting

Outstanding, utilisation, ageing and concentration reports are drawn from the same entries credit and operations make, ready for the committee pack.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For relationship managers

Register applications, follow the document checklist and see the borrower’s limit, drawings and overdue amounts before a client meeting.

For the credit team

Record analysis, recommend terms and read group exposure and utilisation. Approvers sign sanctions inside the file, not in a separate email.

For operations

Check drawdown requests against headroom, documents and conditions, release against approval and keep the security register current.

For collections

Work a daily list by days past due, log each call and promise date, and see receipts as they are matched.

For finance and management

Read outstanding, overdue ageing and concentration across the book, and export entries for the ledger your accountants keep.

Reports

The numbers the owner asks for.

  • Outstanding by borrower and by borrower group
  • Limit utilisation and headroom by borrower
  • Conditions of sanction lapsed or due within the week
  • Invoices financed by buyer and age, with those past due
  • Overdue ageing by days past due and by collector
  • Unmatched bank credits, oldest first
  • Limits and reviews falling due for renewal
Good fit

Who this is built for.

  • Working capital lenders that sanction revolving limits to small and mid-sized companies
  • Invoice discounting and receivable finance providers
  • Term lenders to businesses that take property or equipment as security
  • Non-bank finance companies with a credit team and a collections team
  • Trade finance desks that fund purchases and track repayment by shipment
Honest answer

When it is not the right choice.

  • A lender that mainly gives small instalment loans to individuals will find Loan Management System closer.
  • A single investor who funds one or two borrowers can keep the file in a spreadsheet and a folder.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Limit and product types

Revolving limits, term loans, invoice discounting and stock-backed lines are set up with the fields, pricing and rules your credit policy uses.

Conditions and checklists

The papers needed at application, the conditions attached at sanction and the dates that matter are entered as your own lists.

Approval levels

Who may recommend, sanction and release at which amount is set with your credit head and checked in a test run.

Book migrated

Open limits, drawings, security, schedules and past receipts are loaded, then reconciled to your own totals before anyone relies on the system.

Currency and tax settings

Fee tax, interest rules and currencies differ by country, so each is entered for the countries you lend in and checked with your accountants before go-live.

Common questions

Questions owners ask before a demo.

Does the software decide who gets credit?

No. Your credit team assesses each company. The system holds the papers, the analysis, the sanction and the reports so that decision rests on one file.

Can it handle revolving limits and invoice-backed lines?

Yes, both are supported. A limit shows sanctioned amount, drawn amount and headroom. For invoice-backed lines each invoice financed is listed with its buyer, its age and the advance given.

How are conditions of sanction followed?

Conditions carry a due date and an owner. A daily list shows the ones lapsed or falling due, such as an insurance renewal or a stock statement.

Can we see exposure to a group of related borrowers?

Yes. Related companies are linked into a group, and the group view adds sanctioned and drawn amounts across them. Your team decides which links to record.

How do repayments reach the right file?

A bank statement is imported and each credit is matched to a borrower and a due item. What cannot be matched waits on a short list with a named owner.

Does it replace our ledger?

No. Your accountants keep the books. Entries for interest, fees and repayments can be exported, and the layout is agreed with them during implementation.

Can the current book be moved from spreadsheets?

Yes. Existing limits, drawings, charge registers and past receipts come across from the workbooks your team maintains today. Your operations team compares totals before the old files are retired.

Can we take the borrower records with us?

They remain yours. A borrower’s file, repayment schedule and receipt history can be exported to spreadsheet files on request, in a layout fixed in the proposal.

What will this cost us?

Price rises with the seats you need, with each distinct loan product configured, and with how large an existing book must be migrated. You see the system working on sample borrower files before a number is named, and the quotation follows in writing.
