GullySystem
Finance · Housing Finance Company Management Software

One system for home loan files, property checks, staged releases, instalments and returned title papers.

Run home lending from a single system that follows each loan from enquiry through to the return of the borrower’s original title papers. Sales, credit, legal and operations work on one loan record. It carries the applicant, the property file, the valuation, the sanction, each tranche release, the instalment schedule and the collections calls.

  • Loan products, document lists and approval limits entered as your company lends
  • Existing loan book, schedules and property files migrated
  • Rate reset and letter templates maintained by GullySystem staff on request

Branch managers, sales officers, credit analysts, legal staff, engineers and collections all work from this home loan system. GullySystem sets it up around your own sanction and release steps. Each loan record carries the applicant, the property and title file, the valuation, the sanction, tranche releases, the instalment schedule and the originals held in custody.

Where it breaks today

What goes wrong before the software.

Applicant papers arrive in pieces

Salary slips, bank statements and identity copies come from the borrower over several visits. Only the officer knows which file is complete.

The property file sits outside the loan record

The title chain, encumbrance search and legal opinion are kept by the legal team. Credit and operations cannot see which seller paper is still awaited.

Valuation and inspection reports go astray

A valuer’s figure drives the sanction amount, and an engineer’s note drives each release. Both arrive as email attachments and get filed late.

Part releases are tracked in a sheet

A loan for a half-built flat is paid in several tranches. The amount released so far and the stage reached are held in a workbook that one person updates.

Floating rate changes need a manual rework

Every loan on the benchmark needs a new instalment or tenure after a change. Letters go out from a spreadsheet, and a few borrowers are missed.

Closed loans wait on a hunt for the originals

The deed, the agreement and the cheques were stored at a branch or a vault. Returning them takes days. The register does not match the shelf.

How it runs

How the work flows through it, step by step.

  1. 1

    Enquiry

A broker, builder or walk-in customer is logged with the property in mind. The officer lists the papers to collect and books a follow-up.

  2. 2

    Appraisal

Credit reviews income, obligations and history. The valuer’s report and the legal opinion on the title are attached to the file.

  3. 3

    Sanction

The approving authority sets the amount, tenure, rate and conditions. The sanction letter is issued, and the borrower’s acceptance is recorded.

  4. 4

    Documentation and charge

The loan agreement is signed. Originals are lodged in custody, and the registration of the charge over the property is tracked to completion.

  5. 5

    Disbursement

Money goes out in one payment or in tranches. For a house under construction, each tranche waits for an inspection note at the stage reached.

  6. 6

    Repayment and closure

Instalments come in. Rates are reset when the benchmark moves, arrears are chased, and the originals are handed back at closure.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Enquiry and applicant records

Log every enquiry with its source, then hold the applicant and co-applicants once, with income details, obligations and the property in view.

Income and identity documents

Keep salary slips, bank statements, business accounts and identity proofs on the applicant, with a checklist showing what is still awaited.

Property and title file

Record the seller, the title chain, encumbrance search, legal opinion and the registration or pledge steps needed before the first release.

Valuation and technical reports

Hold the valuer’s report with its market and forced-sale figures, and each engineer’s visit with the stage of construction seen on site.

Credit appraisal and sanction

Route the file to the approving level for the amount, record the conditions set, and issue the sanction letter from the approved terms.

Loan agreement and document custody

Generate the agreement, record signing, and log each original deed and cheque with its vault location until it is returned.

Tranche release by construction stage

Release money in parts against the stage inspected, and show the amount released, the amount pending and the pre-instalment interest accrued.

Instalment schedule and rate reset

Create the schedule from principal, tenure and rate, and rebuild it when the floating rate changes, with the revised letter prepared for review.

Instalment collection and receipts

Record each payment by cheque, bank transfer or standing instruction against the right loan, and issue the receipt and the updated balance.

Arrears and recovery follow-up

List overdue instalments by age, record calls and promises to pay, and move older cases to a notice or legal action list.

Property insurance and charge renewals

Track the policy term on each property and the filing dates for the charge, and prompt staff before they lapse.

Portfolio and branch reports

Read the loan book by branch, product, ticket size and age of arrears, from the same records the officers update.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Lead Management

Enquiries from brokers, builders and walk-ins are logged with source and follow-up date, then become the applicant record once a file is opened.

  • Document Management

Salary slips, statements and identity proofs attach to the applicant, and a checklist shows which papers are still missing before credit can start.

  • Workflow and Approvals

A file moves to the approving level set for its amount, and the decision, conditions and approver are stored with the sanction letter.

  • Contract Management

Each signed agreement, deed and cheque is logged with its vault location, and a release entry is made when the borrower collects it.

  • Receipts Management

Every instalment received by cheque, transfer or standing instruction is matched to its loan and receipted, and the outstanding balance is updated at once.

  • Collections and Payment Follow-Up

Overdue loans are listed by age with the last call and promised date, so collections staff know who to ring each morning.

  • Service Reminders

The policy term and charge filing date of each property raise a reminder to the loan officer before the cover or filing lapses.

  • Dashboards and KPIs

Heads of branch and credit read sanctions, disbursements and arrears by product from the same loan records that officers keep current.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For sales officers

Log enquiries, see which papers each applicant still owes, and watch a file move through credit and legal.

For credit analysts

Open the applicant’s documents, valuation and obligations on one screen, and record the appraisal note and recommendation.

For the legal team

Work through the title chain and the list of seller papers, and mark the charge registration as filed and completed.

For engineers and valuers

See the properties assigned for a visit, file the report from the site, and note the stage of construction reached.

For operations and collections

Release tranches, apply rate resets, post instalments, and work the overdue list with calls and notices.

Reports

The numbers the owner asks for.

  • Applications by stage and branch
  • Files awaiting seller or builder papers
  • Sanctioned against disbursed by month
  • Tranches pending site inspection
  • Instalments overdue by age band
  • Floating rate loans due for a reset
  • Original documents in custody by vault location
Good fit

Who this is built for.

  • Housing finance companies with several branches and a field sales team
  • Lenders financing under-construction flats through builder tie-ups
  • Companies that also lend for plot purchase and home extension
  • Teams that keep original title papers in a central vault
  • Lenders whose loan book sits in spreadsheets or an ageing system
Honest answer

When it is not the right choice.

  • A lender with a handful of home loans a year can keep files in a folder and a ledger.
  • A bank that offers many unrelated products will want a full core banking system; this one is built around the home loan.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Loan products and rate rules

Each loan product carries its own tenure ceiling, rate benchmark and instalment rule, entered to match the lending policy your credit committee has already approved.

Document lists and approval limits

The papers needed for each borrower type and the approving level for each amount follow your own credit policy.

Loan book migrated

Open loans, schedules, balances and property details are brought across, and your operations team checks a sample.

Letters and notices

Sanction, reset and overdue notices use your own wording. Legal text is agreed with your advisers.

Hosting and later changes

GullySystem hosts the system for every branch. Product and stage edits sit with GullySystem.

Common questions

Questions owners ask before a demo.

Does it cover only home loans?

It is built around the home loan and its property file. Loans against property and plot loans use the same record, with their own document lists.

Can a tranche be blocked until the site is inspected?

Yes. The release is held until an engineer’s note for the stage is filed, and the approving officer sees the note beside the amount.

How does a floating rate change work?

An officer enters the new benchmark rate. Every linked loan gets a revised schedule and a draft letter, and staff review the list before it goes to borrowers.

Can legal staff see what the seller still owes?

Yes. Every legal and technical paper on a property is listed as requested, received or still pending, with who chased it and when.

How are original title papers tracked?

Each deed or cheque is logged with the vault, shelf and branch, and its movement is recorded until the borrower collects it at closure.

Can the credit bureau report be attached?

Yes, as an uploaded report on the applicant file, with the credit analyst keying the score into a field beside it. A direct bureau feed is a separate integration quoted after discussion.

Do you set up our approval limits?

Yes. The amount bands and the people who approve each band are entered from your credit policy, and the policy itself stays your own.

What happens to the data we already hold?

Open loans and property details are loaded from your files. Your team compares a sample against the originals before anyone lends from the new system.

Who owns the loan records?

The company does. Loan files, repayment schedules and custody lists can be exported, with the layout agreed in writing before any build starts, so borrower history is never stuck.

What goes into the quote?

The figure depends on branch count, users and the migration involved. It arrives as a written proposal after a demonstration on a sample loan file.
