Finance and insurance · Software for microfinance institutions

Run centre meetings, group loans, field collections and branch deposits from one shared record.

Microfinance institutions lend to women in joint liability groups, collect at centre meetings on a fixed cycle and close branch cash every evening. Group formation, loan files, the demand sheet and arrears sit across paper, Excel and a head-office system that branches update late. The loan management system keeps member, group, centre and loan on one record, and loan officers enter each receipt on the phone at the meeting.

At a glance

An MFI branch may run dozens of centres, each meeting on a fixed day, with a loan officer carrying the demand sheet out in the morning and coming back with cash.

Head office wants portfolio at risk by branch. The branch manager wants to know which centre is slipping before its next meeting.

How the work runs today

New groups go through training and a recognition visit before any loan. Each member’s KYC, household details and loan purpose are collected, and the file goes for approval and disbursement, usually into her bank account.

On meeting day the loan officer marks attendance, collects instalments from each member and notes anyone short or absent. Back at the branch, cash is counted against the day’s demand, deposited and entered.

Arrears are followed group by group. Utilisation checks and next-cycle loans come back to the same member record.

Where it breaks

What goes wrong for microfinance institutions without a proper system.

Demand sheets and receipts are kept apart

The demand sheet for each centre is printed from one system, and receipts are typed into another the next morning. Totals rarely agree first time.

Branch cash and receipts differ

Cash counted at the branch and receipts entered by officers differ by small amounts across several centres. Tracing each one is slow.

Arrears surface after month end

Portfolio at risk is worked out from a head-office export once the month has closed. A centre slips unnoticed.

Member and group figures drift

A member pays part of an instalment, and the group total is adjusted by hand on the sheet. The two stop agreeing.

An officer leaves with his centres

When a loan officer moves on, the promises and visit notes for his centres are in his notebook. The new officer starts blind.

What the software does

What we would build for microfinance institutions.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Members, groups and centres

Record each member inside her group and centre, so member dues and the group total are worked from identical entries and never adjusted by hand.

Loan files and KYC

Keep a checklist per loan product, with scanned KYC papers stored against the application and approval levels set by amount.

Repayment schedules

Build weekly or monthly schedules from principal, rate and tenure, so the member’s card and the branch ledger show the same instalments.

Collection screens for loan officers

Loan officers open the centres assigned to them, see who is due and enter each receipt against the member in the phone browser.

Arrears by bucket and officer

Sort loans by days past due, with demand against collection for each officer and branch and promise-to-pay notes kept on the loan. Reminders go out by SMS.

Branch deposits matched to the bank

Import each branch account’s statement and match deposits to the day’s receipts, with every difference listed with its reason.

Renewals for the next cycle

Renew or top up a member’s loan from the same record, with the earlier schedule kept beside the new one.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, Tally reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions microfinance institutions ask before they call.

Does it handle joint liability group loans?

Yes. Members sit inside their group and centre, so one receipt updates both the member’s dues and the group total. Group training and recognition steps can be kept as items on the loan file checklist.

Will loan officers manage where the network is weak?

Not on its own. The collection screen runs in the phone browser and needs a mobile signal. Where coverage drops, receipts go on the paper sheet and are entered at the branch.

Does it pull credit bureau reports?

No. Bureau checks are done on the bureau’s own portal, and the result is noted on the loan file. Reporting to bureaus stays with your compliance team and its adviser.

Is this the same as your SHG software?

No. The SHG system keeps a self help group’s own savings, loans and books. An institution lending through joint liability groups uses the loan management system.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
