Diaper Subscription E-commerce Software

The store here is built around the repeat order: a schedule per baby, size by weight band, pause and skip, and prompts to change size. Discovery decides the platform. Extra logic then fills any gaps it leaves.

Product status

Configured implementation on a commerce platform chosen in discovery

Repeat-order, size-change and pack logic are added on top of a store platform that discovery selects. Nothing here is an existing GullySystem product.

There is no published price, free trial or live demo for this solution. Scope and cost are settled in a written proposal after discovery.

Purpose and users

The subscription is the product. Each schedule belongs to one baby, names a size, a pack and a gap between deliveries, and can be changed by the parent in a few taps.

The system holds the parent’s choices. It gives no advice on skin or health, and a parent who asks about a rash is pointed to a doctor.

Modules

What is in the system.

Schedule per baby

A size, a pack and a gap between deliveries, with the next date shown.

Size-up prompts

A prompt near the weight band’s upper end, which the parent accepts or ignores.

Pause, skip and swap

Parents hold a delivery, skip one or swap brand without calling anyone.

Pack and carton stock

Stock by pack size, with cartons broken down into packs when needed.

Substitution rules

An approved alternative for a sold-out size, shown before dispatch.

Workflows

How the work runs through it.

Starting a schedule

A parent picks a size and pack, sees the first date and pays, and a recurring order is created.

Changing size

The parent moves up a size, and the next dispatch, the stock reservation and the price all follow.

Catalogue and product data

What each product record holds.

Size and weight band

Each product carries its weight band and type, such as pants or tape.

Pack counts

Pieces per pack and packs per carton, so price per piece is visible.

Brands and equivalents

Sets of acceptable substitutes, ranked by you.

Pricing and order rules

How prices and orders are set.

Price per piece

Shown on every pack, so brands can be compared.

Schedule discounts

A rate for scheduled orders, if you choose to offer one, with an end date.

Institutional rates

Crèches and hospitals buy cartons at rates held for them.

Stock and fulfilment

From stock to the doorstep.

Forward reservation

Stock for the next scheduled dispatches is set aside before the date.

Short-supply handling

If a size runs low, parents are told ahead and offered the approved alternative.

Dispatch batches

Scheduled orders are packed together by delivery date.

Payments, returns and refunds

Taking money and giving it back.

Recurring payment

Collected through methods your payment partner supports for repeat charges, such as a card mandate.

Returns

Opened packs are not taken back. A wrong size is exchanged while the pack is sealed.

Failed charges

A declined repeat payment pauses the schedule and notifies the parent.

Admin controls and reporting

What the team can see and change.

Schedules due

Upcoming orders by size, so purchasing is planned.

Churn reasons

Why schedules stopped, recorded by the parent.

Integrations

What it connects to, and on what terms.

Payment partner

A repeat-charge method set up once the partner confirms it supports one.

Courier

Booking for weekly runs, added after the carrier’s service is understood.

Messages

Reminders through email or WhatsApp, if the parent has agreed.

Deployment

How it is set up and run.

Hosted for you

Hosting is either ours or an account you own.

Phased

A few sizes first, then the full range and the institutional route.

Customisation boundaries

What can change, and where the edge is.

What can change

Gaps between deliveries, size bands, prompts, discounts and substitutes.

Where the edge is

Medical advice, skin-care advice and what a baby needs sit outside the software.

Migration and training

Moving over and getting people ready.

Moving existing customers

Current repeat customers are loaded with their sizes and next dates, then each is checked with a sample.

Training

A short session for the subscription desk on pausing, swapping and refunding.

Support scope

What support covers.

Scope

Corrections to schedules and prompts, plus questions from the desk, under terms agreed before launch.

Outside scope

Other categories, new channels and changes to how prices work are quoted as separate jobs.

Common questions

Questions about this solution.

Can a parent skip a month?

Yes. A parent can hold or skip a delivery before its cut-off, and the schedule resumes on the next date.

Does it tell parents which size to buy?

Only by prompt. It shows the weight band printed on the pack and asks whether the baby has outgrown it. It gives no health advice.

Is there a packaged version to buy?

No. Discovery decides the platform, and the recurring-order rules are written to suit your range.
