Fresh & Frozen Food E-commerce Software

This solution lets a fresh and frozen food seller list daily stock, bill by weight, offer delivery slots and take recurring orders. It adds batch dates, substitution rules and chilled handling to a basic store. Parts are configured on a platform, and a few go beyond one.

Product status

Configured implementation on a commerce platform chosen in discovery

A commerce platform able to handle recurring orders carries the storefront, and discovery decides which one. GullySystem’s Grocery Management System can run the shop counter and stock. Batch dates, chilled handling and cold-chain records are not among its listed modules, so they are added.

There is no published price, free trial or live demo for this solution. Scope and cost are settled in a written proposal after discovery.

Purpose and users

Fresh food runs on a short clock. The listing, the slot, the pick and the delivery are all tied to a deadline after which the stock is worth less, or cannot be sold at all.

This solution covers daily listings, weighed billing, slots, substitution and batch dates. Some goods need flows of their own. Frozen foods and daily dairy are two. Food safety is not certified here.

Modules

What is in the system.

Orders priced as estimates and billed at the weighed or cut weight.

Slots and routes

Delivery slots by area, with cut-offs and rider assignment.

Batch and date record

Receipt date, batch and use-by date on short-life stock.

Substitution and credit

The customer’s choice when an item is out, and credit for quality issues.

Workflows

How the work runs through it.

Order to slot

A customer orders against today’s stock, picks a slot and the order is picked, weighed and delivered.

Recurring order

A weekly box or a daily item repeats until paused.

Claim to credit

A quality claim is recorded with photographs and credited to the account or wallet.

Catalogue and product data

What each product record holds.

Units of sale

Kilo, count, tray, bunch and pack are units on the catalogue, with conversion where needed.

Origin, harvest or landing date, grade and use-by date where the seller records them.

Options

Cut, clean, ripeness and marinade options attach to the items they apply to.

Pricing and order rules

How prices and orders are set.

Estimate and final price

Price at order is an estimate. The final bill follows weight, with a tolerance shown.

Recurring plans

Subscriptions and weekly boxes with pause and skip.

Trade orders

Hotels and shops order in bulk on agreed rates, with credit.

Stock and fulfilment

From stock to the doorstep.

Short-life stock

First-in order, batch dates and wastage records by item.

Chilled handling

Pack and slot rules for goods that need ice or a cold vehicle.

Picking by slot

Pick lists built from the slot’s orders.

Payments, returns and refunds

Taking money and giving it back.

Payments

Online payment, cash at the door or a wallet for recurring orders.

Returns

Spoiled or wrong goods are credited, not restocked.

Refunds

Money returns by the original route once a claim is accepted.

Admin controls and reporting

What the team can see and change.

Roles

Buyers, pickers, riders and the order desk work from separate screens.

Approvals

Large credits and rule exceptions wait for an owner.

Reports

Wastage by item, slot performance, claims by cause and subscriptions active.

Integrations

What it connects to, and on what terms.

Shop stock and billing

Can sit in the grocery product GullySystem already runs, which the web store reads.

Temperature monitoring

Where sensors exist, readings can come from GullySystem’s IoT Monitoring Dashboard.

Payments and messaging

Gateways and WhatsApp are connected after the access they give has been confirmed.

Deployment

How it is set up and run.

Platform selection

Subscriptions, slots and weighed billing decide which platform suits, and discovery compares them.

Phased

A few lines and one area start, then more as stock and routes prove out.

Customisation boundaries

What can change, and where the edge is.

What can change

Units, slot rules, substitution choices and credit rules follow your trade.

Where the edge is

Temperature rules, labelling and food safety standards come from your adviser and each market. The system applies the limits you give it.

Migration and training

Moving over and getting people ready.

Loading the range

Items, units and prices are loaded from your billing software or a sheet.

Training

Buyers, pickers and riders each learn their own screens.

Support scope

What support covers.

Included

Corrections, small changes and staff queries sit under a written agreement.

Not included

Cold-chain systems, daily dairy routes and new channels are quoted separately.

Subcategory coverage

Where each fresh & frozen food subcategory is covered.

Each subcategory is either covered by this solution or has a page of its own where its software requirements differ.

  • Fruits

    Covered on this page

Weighed billing, ripeness options and a loss register are catalogue and picking features the category solution already includes.

  • Vegetables

    Covered on this page

Daily prices, mixed units and a next-day cut-off are rules of the category solution. They do not call for separate software.

  • Dairy

    Its own solution page

Daily subscriptions, wallets and route plans are a different system from a basket-based store, and dairy is the clearest case in this category.

  • Eggs

    Covered on this page

Eggs are counted and packed carefully, which the category solution handles through unit options and claim flows.

  • Meat & Poultry

    Covered on this page

Cut options and weight-adjusted billing are catalogue and billing rules that the category solution carries for all variable-weight goods.

  • Seafood

    Covered on this page

Daily catch listings and cleaning options are covered by the category’s variable-weight and cut-to-order rules, with no separate system needed.

  • Frozen Foods

    Its own solution page

Cold-chain records, pack-out timing and a delivery radius change the system itself, so this subcategory has its own solution.

Common questions

Questions about this solution.

Is this finished software?

Not as a whole. A shop-side product exists. The store, slots and chilled flows are fresh configuration.

Does it hold temperature records?

Not in the grocery product. Readings can come from a monitoring product or a logger where one is fitted.

Can it promise goods arrive fresh?

No. It records times and applies your rules. Condition on arrival depends on packing and delivery.
