Specialty Food E-commerce & Retail Software

This solution lets a specialty food seller run a storefront that filters by diet and shows the proof behind each claim. Counter billing and stock come from GullySystem’s Grocery Management System, and the dietary record, document register and wider storefront are configured around it.

Product status

Existing GullySystem product, with the online storefront configured around it

GullySystem’s Grocery Management System already covers barcode billing, customer credit, stock and an ordering page for a shop’s own customers. The wider storefront, dietary filters and claim register are configured around it, and each of those is marked as added.

There is no published price, free trial or live demo for this solution. Scope and cost are settled in a written proposal after discovery.

Purpose and users

A claim on a product page rests on the paper behind it. Here the paper becomes part of the product record, and both are tied to the stock the shop sells from.

It covers the storefront, the dietary record, the document register, batch and storage rules and the link to the shop. It does not decide whether a claim is valid, write labels or certify any product.

Modules

What is in the system.

Shop billing and stock

Existing product: barcode and GST billing, customer credit and stock with low-stock alerts.

Customer ordering page

Existing product: an ordering page for regular customers, with repeat of a past order.

Dietary product record

Added: ingredient and dietary fields with a change date for each product.

Claim and document register

Added: certificates and declarations linked to products, with validity dates.

Specialty storefront

Added: a wider catalogue with diet filters, box builder and nationwide shipping.

Workflows

How the work runs through it.

Product to listing

A product is entered with its claim documents, checked by the compliance lead and published to the store and the ordering page.

Mixed basket

An order holds shelf-stable and chilled items, the pick list splits them by storage class and the parcel is packed accordingly.

Supplier recipe change

A supplier sends a new ingredient sheet, the product is flagged, the listing is hidden from filters until checked and open orders are reviewed.

Catalogue and product data

What each product record holds.

Ingredients and dietary statements

Separate fields for ingredients, contains and made-without wording, each with a change date.

Documents

Certificate, declaration and test report files attached to the product, with their validity dates.

Storage class

Ambient, chilled or frozen, carried to the pick list and the packing instruction.

Pricing and order rules

How prices and orders are set.

Prices and pack sizes

A price per pack with variants for sizes, and weight-based items sold per gram where needed.

Substitution choice

A shopper’s answer to whether a substitute is acceptable, with a lock for claimed products.

Box pricing

A price for curated boxes, with rules on which products can be swapped inside them.

Stock and fulfilment

From stock to the doorstep.

Stock from the shop

The storefront reads the stock the shop sells from, at an agreed interval, and holds a small reserve in between.

Segregated lines

Claimed lines are stored in separate locations, and the pick list names the location.

Batch and date

Best-before dates by batch, with the earliest date picked first.

Payments, returns and refunds

Taking money and giving it back.

Payments

Online payment through the gateway on your merchant account, and cash or UPI at the counter.

Returns

Opened food is not restocked. A complaint is recorded against the batch so repeat problems stand out.

Refunds

Refunds travel back by the way the money came, with the cause noted for support.

Admin controls and reporting

What the team can see and change.

Roles

Counter staff, pickers and owners work in their own screens, and only compliance leads can edit claims.

Expiring documents

A list of certificates and declarations nearing their end date.

Reports

Sales by dietary type, stock by storage class and complaints by batch.

Integrations

What it connects to, and on what terms.

Grocery Management System

The existing product holds shop stock, billing and customer credit, and the storefront exchanges data with it at agreed intervals.

Courier services

Booking and tracking with couriers that run chilled services, once we have tested their access.

Supplier files

Ingredient and price sheets loaded from files, until a supplier connection has been scoped.

Deployment

How it is set up and run.

Hosting

We can host the system, or deploy it into cloud accounts you hold.

Order of work

Shop and product record first, then the storefront, then boxes and subscriptions.

Customisation boundaries

What can change, and where the edge is.

What can change

Dietary fields, storage classes, substitution rules and page design are set to your range.

Where the edge is

The shop product is not a warehouse or chain system. Very large multi-store operations may need something different.

Migration and training

Moving over and getting people ready.

Bringing the range over

Products, prices, barcodes and stock come from your billing software or a sheet, and the claim documents are attached as they are collected.

Training

Sessions for counter staff, the compliance lead and pickers, on your own products.

Support scope

What support covers.

Scope

After launch we repair faults and make small changes. Hours and contacts are written into the support terms.

Outside scope

Extra warehouses, other countries and a changed storefront design are separate projects with their own quotes.

Subcategory coverage

Where each specialty foods subcategory is covered.

Each subcategory is either covered by this solution or has a page of its own where its software requirements differ.

  • Organic Foods

    Covered on this page

Certificate records, harvest-based boxes and weight billing are product-record rules the category solution can hold.

  • Gluten-Free Foods

    Its own solution page

Allergen records under change control, shopper profiles and batch-to-version tracing differ from a category store, and no existing product covers them.

  • Vegan Foods

    Covered on this page

Declarations, substitution guards and mixed temperature packing are rules the category solution can hold.

  • International Foods

    Covered on this page

Landed-cost pricing and container-based arrivals are costing and stock rules the category solution can hold.

  • Regional Foods

    Its own solution page

A multi-producer store with onboarding, commission and payouts is a different system from a single-seller store.

Common questions

Questions about this solution.

Is the whole thing an existing product?

No. The shop side is an existing product. The dietary record, document register and wider storefront are configured for each seller.

Is there anything to try first?

Nothing is published to try or price. A written proposal gives scope and cost.

Does it work for a large chain?

Not on its own. The shop product is built for single stores and small groups, so a large chain needs a different design.
