Serial Number Stock for Appliance Dealers

Each set in the showroom is held against its own serial number, from the day it is received to the day it is billed. The counter and the godown read one count.

What a stock record holds

Brand, model and capacity

A television size in inches, a refrigerator in litres or a washing machine in kilograms, with the model code the brand prints on the carton. Capacity is part of the name.

Serial or IMEI

Each piece carries its own line. The number is scanned from the carton or typed in at goods receipt.

Where the set is lying

A godown rack, the showroom floor or a second branch. A set out with the van is marked as gone for delivery. Location is never a guess.

Cost, price and reorder level

The landed cost, the selling price from the current list, and the count below which the purchase desk should order more. Reorder levels are yours to set.

How serials move through the showroom

Stock arrives against a distributor order, and each serial is entered as the cartons are opened and counted in the godown before anything reaches the floor. A serial billed at the counter leaves the count that moment. Nothing is counted twice. A piece opened for display stays in stock but is flagged as a demo set, so it is never promised to a buyer as a sealed box. Transfers to another branch carry the serial with them.

Who works with it

Counter staff

Check whether a model is really available before quoting, and put the serial on to the invoice.

Godown and purchase staff

Receive cartons, enter serials, raise transfers and watch models that have fallen below their reorder level.

Owners

Read stock value, slow models and the sets standing unsold for months. Dead stock shows itself.

What the showroom decides

  • Which models are stocked and the reorder level each one carries
  • Whether serials are scanned or typed at goods receipt
  • Which locations exist, such as godown, floor and each branch
  • Who may correct a serial that was entered wrongly

What this module leaves out

It does not price your stock and it does not value closing stock for the books. Stock is shown at cost and at list price, and what reaches the accounts is work for the dealer’s accountant or advisor. A carton that arrives without a readable serial is entered by hand, and the entry carries a note saying so for anyone who checks later. That gap stays visible.

FAQ

Frequently asked questions

Can two pieces of the same model be told apart?

Yes. Each carries its own serial line, so a warranty claim or a finance case points at one piece only.

What happens to a set opened for display?

It stays in the count and is flagged as a demo piece. The counter can then quote it at a display price.

Does stock show branch by branch?

Yes. Every location keeps its own count, and a transfer moves the serial from one to the other.

Is a barcode scanner needed?

No. Serials can be typed, though a scanner at goods receipt saves time once carton volumes grow.
