The Licence Expired and Nobody Knew

A driver’s licence, a guard’s police verification, a nurse’s registration. The date passes quietly in a file, and you hear about it at the gate or from a client.

Papers are taken when somebody joins, and then nobody looks at what is missing. Half the joiners never gave a PAN copy. In March the accountant asks for the numbers, and the chasing starts, person by person, while everybody is busy with something else.

Frequently asked questions

Will it make us PF and ESI compliant?

No, and be careful with anybody who says otherwise. It holds the UAN and ESIC numbers and the attendance the returns are built from. What gets filed, and what happens if a notice arrives, is between you and your consultant.

Can we upload a photo of a document instead of a scan?

Yes. A phone photograph is what most offices actually have, and it is enough to produce when somebody asks to see it.

Who gets the reminder?

Whoever you name, usually the HR executive and the reporting manager. It can go by email or WhatsApp, and the same list sits on screen for anybody who would rather look than be told.

Can staff upload their own documents?

They update address, phone, emergency contact and bank account from the portal, and those changes wait for HR approval. Identity documents are better handled by HR, because somebody should look at what arrives.
