He Says Four Days Left, the Register Says Two

The balance is on the first screen when somebody applies, so there is nothing to dispute. His manager clears it from a phone, and the attendance for those days changes on its own.

Leave is written in a register, and the register sits behind the HR executive. Somebody asks how many casual leaves are left, and she has to stop what she is doing to count. By March the counting is a small research project, and the answer is still challenged.

How leave runs

The types you actually use

Casual, sick, earned, comp off, and whatever else your policy names. Opening balances, accrual and carry forward are set to that policy.

Applied and approved

He asks for two days in the third week. His manager clears it from a phone between two site visits, and both of them see the same balance.

The attendance follows

An approved leave moves the balance and shows on the attendance for those days. Nobody marks it twice.

Loss of pay, marked as such

Absence with no balance behind it is counted separately and handed to payroll that way, rather than being quietly absorbed.

Frequently asked questions

Does it decide our leave policy?

No. It applies the policy you already have, including the parts that live only in the owner’s head. Where the rules were never written down, writing them down comes first, and that conversation is often the most useful part of the set-up.

Can a supervisor apply on somebody’s behalf?

Yes. Some of your staff will not use a portal, and supervisors carry on applying for them. The record still shows who applied and who approved.

What happens to unused earned leave at year end?

Whatever your policy says: carried forward, capped, or lapsed. Carry forward is set at the start, and the closing balance becomes the opening balance of the next year.

Can a manager see who else is off that week?

Yes, before he approves. Clearing two days in a week where three people are already away is at least done with his eyes open.
