A fitter joins on the 3rd. His record is opened once, and the checklist shows what has not been handed over yet. The gap is visible while he is still sitting in front of you.
Day one, and then nobody looks again
Joining formalities happen in a rush. The man wants to start work, the supervisor wants him on the floor, and the papers are half collected. Nobody goes back to check. The bank account was noted on a slip, and it is wrong by one digit.
What the checklist carries
Papers to be handed over
Appointment letter signed, identity and address proof, PAN copy, photographs, previous employment papers. Ticked as they arrive, visible while they have not.
Assets issued
ID card, SIM, tools, uniform, laptop. What he was given goes on the record, so the exit knows what to ask for.
Logins and access
Which systems he needs and who created them. A joiner waiting three days for a login is a joiner doing nothing.
Induction done
Safety, the shift pattern, who he reports to. Ticked by the person who actually did it, not by the person who arranged it.

Frequently asked questions
Does it send offer letters and handle the hiring?
No. Interviews, offers and negotiation happen the way they happen in your office. This picks up on the day somebody has said yes, and it stops there.
Can different roles have different checklists?
The checklist is set up around your own joining process, and a driver who needs a licence and a medical is not the same list as an office trainee. How many lists you need is settled at set-up.
Who fills it in?
Usually the HR executive, with the supervisor and the IT person ticking their own parts. It is a shared list rather than one person’s homework.
What if somebody joins and leaves within a week?
The record stays, with the status and the last working day on it. Assets issued and not returned are still on the list, which is rather the point.
