Nobody Queues at the HR Desk for April’s Payslip
A man wants April’s payslip for a bank loan. He logs in and takes it. The HR executive, who is in the middle of closing attendance, is not interrupted at all.
Half of Monday, printing
The same two questions arrive every month. What is my leave balance, and can I have last April’s payslip. Both have the same answer every time, and both need somebody to stop, open a folder and print.
What sits on his login
Every payslip since joining
Released by payroll and held as PDFs, so last year’s is as easy to find as last month’s.
The tax documents your accountant issues
Whatever he releases goes on the same login, where the person can find it without asking anybody for a favour.
Leave balance and holiday list
The other questions the desk gets asked, answered before they are asked.
Letters, still issued by HR
A salary certificate for a bank comes from your own template, and somebody reads it before it goes out. That should stay a human decision.
How it reaches him
- A browser page saved to the home screen, not an app to install
- Few buttons, large ones, on the handset your floor staff actually carry
- Released only after payroll has run, never before
- Who has logged in, and who never has, as a report
- Supervisors still handling the people who will not log in
Frequently asked questions
Does this software produce the payslip?
No. Payroll produces it, whether that is software you own or your consultant’s office. This holds the released payslips and puts them in front of the right person. The salary calculation is not done here.
Does the portal work on a cheap phone?
Yes. It is a browser page saved to the home screen. Some of your staff still will not use it, and supervisors carry on for them.
Can somebody open another person’s payslip?
No. A person sees his own. Managers see their teams without pay details, HR and accounts see what you allow, and every view is logged.
What about people who have left?
Their payslips stay on the record with the rest of the file. Access to the login usually ends on the last working day, and HR issues a copy when an old employee asks.
