Exit and Clearance for Leaving Staff
The module records the resignation date, notice period, last working day, handover, returned assets and pending dues. Each department clears its own part on the record.
Exits agreed in conversation
A resignation may be discussed twice without the notice period being written down. On the last day, the ID card and SIM leave with the employee. Weeks later, accounts is still asking about an advance from months earlier. An exit record holds these items in one place.
What the exit record holds
What it leaves behind
- A headcount that drops on the right date
- Joiners and leavers for the quarter, with reasons for leaving
- Portal access ending with the last working day
- The attendance and leave record, closed and kept
- Assets issued, returned and written off, per person
Frequently asked questions
Does it calculate the full and final settlement?
No. It gathers what the settlement needs, which is attendance to the last day, leave balance, advances outstanding and assets not returned. The calculation and payment run in payroll or with your consultant.
Can we keep the record after somebody leaves?
Yes. The file stays with the status and the last working day on it, and it remains readable for later questions. Headcount counts only people on the rolls, so an ex-employee does not inflate it.
What if somebody leaves without notice?
Mark the last working day and the reason. Clearance then runs on whatever can still be recovered, and assets not returned stay on the list.
Who can see the reason for leaving?
HR and the people you name. Managers see their own team without the sensitive parts, and every view is logged.
