One List of Who Actually Works Here
Ask three people your headcount and you get three answers. The master record is the one list everything else reads from, so attendance, leave and the month sent to payroll use the same names.
Four lists that disagree
One list sits in the salary sheet. One is inside the attendance machine. One is the gate register, and one is in the HR executive’s head. Each is right about something. None of them is right about the man who resigned on the 20th.
What the record holds
The person
Employee code, full name as on records, designation, department, branch, shift and reporting manager.
The numbers you get asked for
PAN, Aadhaar, UAN, ESIC number and bank account, in one place instead of four emails to four people.
Contract and temporary staff too
Agency staff and contract labour sit on the same list, marked by type, because they walk in through the same gate.
History, not only today
A change of branch, shift or designation keeps its date, so the record can answer where somebody was sitting in March.
Active, on notice, left
Status on the record, with the last working day where there is one. Headcount on a date you pick stops being an argument.
What reads from it
- The shift roster and attendance, using the same names
- Leave balances counted from the right joining date
- Documents and licences, held on the person rather than in a folder
- The month exported for payroll, person by person
- Headcount by branch, department and employment type
Frequently asked questions
Can we move our staff list from Excel?
Yes, and nearly every set-up starts there. The sheet is cleaned, duplicates are merged, and joining dates are checked with you before loading. You sign off a sample, so an old mistake is not inherited.
Is this a payroll system?
No. It is the database, with self-service on top. Records, attendance, shifts, overtime and leave live here, and the closed month goes to payroll. The salary calculation runs in payroll software, or with the consultant who does it today.
Who can see salary and identity documents?
The people you name. Managers usually see their own team without pay details, HR and accounts see more, and every view of a document is logged.
What about people who work at two branches?
The record carries the branch he belongs to, while attendance marks where the work actually happened. Headcount still counts him once.
