When Was That Ventilator Last Serviced?

The machine has a record of its own. Breakdowns are raised against it rather than against a description of it, so its history grows by a line every time somebody touches it.

A sticker, a folder and the vendor’s memory

Service history lives in three places and agrees in none of them. A sticker on the side, a warranty folder in the office, a vendor who remembers coming sometime last year. At two in the morning, when the machine stops, nobody can say whether the AMC is still running.

What the machine’s record holds

Identity

Make, model, serial number and the department it belongs to. A label can be printed, so a phone scan opens the right record at the bedside.

Warranty and AMC dates

With the renewal date visible before it passes, and the vendor contract it sits under.

Every breakdown

Raised from the ward against the machine, acknowledged, attended, and closed with what was replaced.

Parts and time taken

What went in, and how long the machine was out of the ward.

Service due

Machines coming up for service, listed before the month starts rather than after a vendor rings.

The questions it answers

  • Breakdowns by machine, so the one failing every month shows up
  • Equipment due for service, and AMCs coming up for renewal
  • Which department a machine sits in today, and where it came from
  • Suction units and pumps that keep coming back, by model
  • The record an assessor asks to see, with dates on it
FAQ

Frequently asked questions

Will this make us NABH compliant?

No, and no software can. What you get is the record an assessor asks to see: equipment serviced on time, maintenance closed with dates, stock with expiry. The assessment stays between your team and the assessing body.

Can we bring our existing equipment list across?

Yes. Machines with their AMC dates come in from Excel or your registers. Your biomedical in-charge checks a sample first, because a wrong AMC date is worse than no date at all.

Can the ICU raise a breakdown directly?

Yes. The nurse raises it against the machine, and biomedical sees it with the department and the urgency already on it.

Does it handle calibration?

What is recorded is what your team or the vendor did to the machine, with the date. Where you treat a calibration as a scheduled service, it sits there as one. If you need certificates and their own schedule, say so at the demo rather than assuming it.
