Purchase Orders and Vendor Contracts for Hospitals
The module raises orders to suppliers, records goods received and vendor bills, and keeps equipment AMC contracts with renewal dates. Purchasing then sits beside the stock and equipment it supplies.
Purchasing beside stock and equipment
Items below their minimum level join the reorder list, and a purchase order is raised from that need to a supplier. When goods arrive, the receipt is recorded and the store figure is updated. The vendor’s bill is entered against the same order. The chain stays in one place.
What the module records
How it connects to other records
AMC dates sit with the equipment record in the biomedical module, and renewals coming up appear in the report of equipment due for service. Material bought for a repair goes to the store and leaves against a work order. The accountant can take purchase entries by export.
What the module does not do
It does not set purchasing policy or approval limits. Who may raise an order, and who approves it, is agreed with the hospital during implementation, because those rules differ between hospitals and trusts. Linking straight into Tally is a separate piece of work. Payment to vendors stays in the hospital’s own accounts.
Frequently asked questions
Can purchase entries go into Tally?
Through an export, yes. Purchase orders, goods received and vendor bills are listed for the accountant. A direct link is a separate scoping item.
Does it track AMC renewal dates?
Yes. Each contract is held against the machine with its renewal date, and upcoming renewals are listed.
Does it pay vendors?
No. It records orders, receipts and bills. Payment stays with the hospital’s accounts team.
Can an approval step be added before an order is raised?
That is agreed during implementation. Who raises and who approves an order differs between hospitals.
