Views by Role in Hospital Operations Software

Hospital operations involve nurses, housekeeping, engineers, the store and the administrator, each acting on different jobs. Every role sees its own queue, drawn from one shared record of jobs, equipment and stock.

One record for jobs, equipment and stock

A job often crosses two departments before it is finished, and each department keeps its own list. The software holds jobs, machines and stock in one place, with a name against every job. Each role sees the part it acts on. Patient files stay in the hospital’s clinical system.

What each role sees

Nurses and ward sisters

Jobs raised for the ward and where each one stands, so a nurse can see who has taken a job without calling the floor. The ward indent is raised here when stock runs low.

Housekeeping supervisors

Today’s jobs by floor, who is free, what has crossed its time and the cleaning rounds still due.

Maintenance and biomedical engineers

Complaints in their queue, the machine or location each belongs to, the parts taken from the store against each repair, and equipment due for service.

Store keepers

Indents waiting, items below their level, batch and expiry dates and what each ward consumed this month.

Hospital administrators

Jobs raised and closed by department, what is overdue and with whom, repeated equipment failures and where store spending went, read from the day’s records.

How a job moves between roles

Raised on the ward

The nurse opens the ward screen and raises a job with bed, ward and urgency.

Assigned by the supervisor

The supervisor on duty for the floor gives the job to a staff member. It appears on their phone with a name against it, so the job always has an owner.

Tracked and escalated

Accepted, started and done are visible to the person who raised it. If the response time is crossed, the job moves up to the supervisor and then the duty manager.

Reviewed weekly

The administrator reads jobs raised and closed, what remains open and which machines broke down repeatedly.

What the client decides

Wards, floors, blocks, job categories and response times are configured first, and escalation follows the hospital’s own reporting line. Nurses, housekeeping supervisors, engineers and the store are each trained on the screen built for them. Night staff are trained on their own shift. Clinical priority stays with the doctors.

FAQ

Frequently asked questions

Does any role see patient records?

No. The software holds jobs, equipment and stock. Patient records stay in the hospital’s own clinical system.

Who is told when a job crosses its response time?

The job moves to the supervisor and then to the duty manager. The chain follows the hospital’s reporting line, which is set during implementation.

Can night staff see their own jobs?

Yes. Night staff are trained on their own shift and see the jobs assigned to them.
