The Round That Ends in a Job, Not a Tick
Daily and weekly rounds run as checklists on a phone. A fire point with no pressure, or a fridge at the wrong temperature, turns into a job before the person doing the round walks away.
Signed at the end of the month
Checklists on a clipboard get signed in one sitting, usually on the last day, usually in the same pen. Everybody knows it. The generator was probably fine. Nobody can say when it was last actually started.
How a round works
A list on the phone, by area
Toilets on the second floor, fire points in the block, the generator, the cold storage. Whatever your team checks today.
Answered where the person is standing
Each point is marked as it is checked, with the time it was marked.
A failure becomes a job
A tap with no water, or an extinguisher past its date, goes to maintenance as a work order from the same screen.
Daily, weekly, whatever you run
Frequency is set for each round, so the daily walk and the weekly check are not confused with one another.
What it leaves behind
- Rounds done and rounds missed, by area and by week
- Points that fail again and again, which usually mean something bigger
- Jobs raised from checks, with the failed check still attached
- A record with dates on it rather than a page of signatures
- Support staff rostered by shift, so a round belongs to somebody on duty
Frequently asked questions
Does this stop people ticking without looking?
Not entirely. The time and the place of each entry make a round done from the canteen harder to pass off, and a supervisor still has to check the checker. No software has solved that one.
Can we use our own checklist?
Yes. Your rounds, your points, your wording, set up before the first one runs. Most hospitals start from the list they already have on paper.
Who does the rounds?
Whoever does them today. Housekeeping supervisors, the maintenance team, the duty manager. They are rostered by shift and floor, so a round belongs to a person who is actually on duty.
What happens when a check fails at midnight?
The job goes to the team that owns that kind of work, with the response time you set for a night. If it crosses that time it climbs, and the administrator sees it on Friday whether or not anybody mentioned it.
