Who Sees What in Paint Dealer Software

A paint shop has several hands on the same tin. The owner, the counter, the tinting operator, the godown and accounts each read what their own work needs.

The owner

Sales and margin

Sales by company, product and pack size, with margin worked from landed cost. Fast and slow products separate out, and buying decisions start there.

Stock value in both places

What the shelf and the godown hold, in value. Old batches and unsold tinted packs are listed on their own.

Credit and claims

Painter and contractor balances by age, what is owed to each depot, and every scheme claim still waiting on a credit note.

Tinting activity

Packs tinted by shade and by operator, and the colourant that went with them.

Counter staff

The counter looks up products and pack sizes, works an estimate from a wall area, opens a dispensing job and raises the invoice at the slab for that buyer. A painter balance and his limit appear while billing to an account. Slabs, landed cost and margin stay out of reach. A rate below the slab needs the owner.

The tinting operator

One screen holds the dispensing queue. Each job names the base pack to load, the shade to dispense and the buyer it belongs to. Canister levels and the bases running low sit alongside. Rates, buyer balances and margins are not shown here, because nothing in that queue needs them.

Godown, delivery and accounts

The godown receives depot stock against orders, enters batch numbers, logs leakage and counts racks when a check is called. Delivery staff pick for a challan and bring the signed copy back. The accounts person posts painter receipts, enters cheques, marks them cleared and matches scheme credit notes to claims. None of the three sees retail margin unless the owner opens it up.

What the owner sets

Who sees which screen is fixed while the shop is being set up, and our team changes it when your staffing changes. A second shop can be limited to its own stock and sales, or given sight of both. Someone correcting a past invoice leaves the earlier version standing beside the change. Nothing is removed quietly.

Can a counter boy see what a tin cost the shop?

No, unless the owner turns it on. The counter screen shows list rate, slab and net rate only.

Does the tinting operator need a separate login?

Yes. Each person has one, so every dispensing job carries the name of whoever ran it.

Is there a view on a phone?

Yes. Owners check stock, sales and painter dues from anywhere, and delivery staff use a phone for challans.

Can a second shop be kept apart from the first?

Yes. A shop can be limited to its own records, while the owner reads both together.
