GullySystem
Finance · Private Equity Firm Management Software

One connected system for deal flow, diligence, investor records and portfolio reporting.

Manage a private equity firm in one system. The deal pipeline, owner and adviser contacts, data room items and investment committee approvals sit on linked records. Once a deal closes, the same entries feed portfolio figures, investor commitments, capital calls and quarterly reports. Partners, associates, finance and investor relations each see the part they work on.

  • Stages, fund structure and approval rules entered as your firm works
  • Deal tracker, contacts and investor lists migrated
  • Template and report edits handled by GullySystem staff when asked

Private equity firms of any size use this system, which GullySystem configures around their pipeline, funds and investor base. Deal teams, portfolio teams, finance and investor relations work from it. Each target carries its notes, diligence files and approvals. Each portfolio company carries its figures against plan, and each investor carries commitments, drawdowns and distributions.

Where it breaks today

What goes wrong before the software.

Deals are tracked in several places

A target appears in a spreadsheet, an inbox and a partner’s notebook, and who last spoke to the founder or the broker is not recorded where the team looks. Warm deals go cold.

Diligence files have no home

Quality of earnings reports, legal reports, data room exports and drafts sit in separate folders. The version the committee actually saw is hard to confirm months later, when a lender or a partner asks.

Committee decisions are hard to find

Votes, conditions precedent and price caps are recorded in minutes, emails or messages. After closing, nobody can list the conditions that came with an approval. They are rediscovered at the first board meeting.

Portfolio data arrives in mixed formats

Each company reports on its own template, and revenue, EBITDA and net debt are retyped into a model before they can be compared with the budget. Errors creep in.

Investor records are split across files

Commitments, drawdown notices, distributions, side letters and fee terms live in different files, so one question from a limited partner can mean opening several of them. Replies are slow.

Quarterly packs are rebuilt each time

The update to limited partners is assembled from emails and models. Currency and valuation notes are added by hand and checked late, usually the night before it goes out.

How it runs

How the work flows through it, step by step.

  1. 1

    Sourcing

A target is logged with its source, owner contact and first notes. The deal lead is named, and a screening date is set against the pipeline stage.

  2. 2

    Screening and meetings

Calls, site visits and management meetings are recorded against the company. Each deal moves from screening to term sheet and letter of intent, stage by stage, with the next step visible to the team.

  3. 3

    Diligence

A request list is built for the deal and assigned across the team. Adviser reports, data room items and management accounts are filed against the request they answer.

  4. 4

    Approval

A memo goes to the investment committee. Votes, conditions and the final decision are recorded with the deal, so the 100-day plan can start from them.

  5. 5

    Closing and monitoring

The company becomes a portfolio holding. Monthly or quarterly figures are collected on a set template, then compared with the budget and the covenant levels.

  6. 6

    Investor reporting

Drawdown notices, distributions and the quarterly pack are prepared from recorded figures, checked by finance, and sent to each limited partner in the currency of their commitment.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Deal pipeline

Track each target by stage, owner and next step. The source, the broker or founder contact and every conversation stay on the record, so a partner can open it before a call.

Companies and contacts

Keep owners, founders, advisers, lenders and co-investors as linked records. Every touchpoint shows on one screen.

Diligence workspaces

Build a request list per deal, assign each item to a team member, and file every adviser report, quality of earnings draft and data room export against the request it answers.

Investment committee approvals

Send a memo to the committee, record each vote, and keep the conditions precedent and price caps of the approval with the deal. They are not lost after closing.

Portfolio monitoring

Collect monthly or quarterly figures from each company on a set template, such as revenue, EBITDA, net debt and headcount, and compare them with the budget and the investment case.

Investor and fund records

Hold commitments, drawdown notices, distributions and contact details by investor and by fund, so that one limited partner question is answered from one page.

Agreements and side letters

Store signed subscription agreements, side letters and shareholder agreements against the investor or company, with dates, fee terms and renewal points that someone must act on.

Currencies and valuations

Record holdings in their own currency, with the exchange rate and valuation date used for each report. Gains are never mixed across funds without a stated rate.

Value creation tasks

Assign post-closing actions from the 100-day plan to the portfolio team and the company, with named owners and due dates, and see which are overdue before the next board meeting.

Reporting packs

Produce the quarterly update from recorded figures, with notes on currency, valuation basis and unrealised gains stated on the page, ready for finance to check.

Access and audit log

Restrict each deal to the people staffed on it, and keep a log of every view and change of a document. A leak or a dispute can then be traced.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Pipeline Management

Each target moves across stages with an owner and next step, so partners read the whole pipeline by stage, lead or source.

  • Contact & Account Management

Owners, advisers and lenders are held as separate records linked to the firms they work for, with every past touchpoint listed.

  • Document Management

Adviser reports and data room items are filed against the request they answer, with version, date and the person who added them.

  • Workflow and Approvals

A deal summary goes to the committee, each member’s vote is recorded, and conditions stay attached to the deal after closing.

  • Dashboards and KPIs

Figures from each portfolio company sit beside the plan, so partners see which holdings are behind before the next board meeting.

  • Contract Management

Signed agreements and side letters are stored against the investor or company, with effective dates and points that need review.

  • Multi-Currency Support

Holdings stay in their own currency, and each report states the rate and valuation date used to convert them.

  • Task Management

Post-closing actions get one owner and one due date, shared by the portfolio team and the company’s management.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For partners

See the pipeline by stage, papers waiting for committee and portfolio companies behind budget, without asking an associate to build a deck.

For deal teams

Work your targets, request lists and diligence items, with notes, models and files in one place for each deal.

For portfolio teams

Collect figures from companies, follow action plans, watch covenant headroom and prepare the monthly view for partners.

For finance and investor relations

Record drawdowns and distributions, answer limited partner questions from one record and prepare the quarterly pack.

Reports

The numbers the owner asks for.

  • Pipeline by stage, deal lead and source
  • Diligence requests still open by deal
  • Committee decisions and conditions precedent
  • Portfolio EBITDA and net debt against budget
  • Capital called and distributed by limited partner
  • Holdings by currency and valuation date
  • Monthly reports outstanding from portfolio companies
Good fit

Who this is built for.

  • Mid-market buyout firms
  • Growth equity and minority investors
  • Venture and early-stage fund managers
  • Family offices with direct holdings
  • Independent sponsors running deal by deal
  • Firms with several funds and investor groups
Honest answer

When it is not the right choice.

  • A firm that holds a single investment can manage with a folder and a spreadsheet.
  • A team that needs fund accounting, waterfall calculations or valuation models will still use its administrator’s tools alongside this system.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your stages and approval rules

Pipeline stages, committee rules and diligence request templates follow how your firm already decides, down to the memo headings and the vote threshold.

Fund and investor structure

Funds, co-investment vehicles and limited partner groups are set up as they exist, with currency settings agreed for each fund.

Existing records migrated

Deal trackers, broker lists and investor details arrive from your current spreadsheets and tools.

Reporting templates

Portfolio templates and the quarterly pack use your own headings. Their content is decided with your firm and its advisers, and the layout can change when your limited partners ask.

Hosting and changes

GullySystem hosts the system and handles edits to stages, templates and access rules when asked.

Common questions

Questions owners ask before a demo.

Is this deal software or investor software?

Both. The same system covers the pipeline and diligence on one side and the portfolio and limited partner records on the other, so a company’s history stays unbroken from first call to exit.

Does it replace our fund administrator?

No. The administrator keeps the books, the waterfall and the valuations. This system holds the operational records and can export figures to the administrator’s tools.

Can different deals have different access?

Yes. Permissions follow both role and deal, which keeps each team member inside the transactions they are staffed on and keeps ring-fenced deals closed to everyone else.

How are diligence documents organised?

Each deal has a request list. Documents are filed against the item they answer, with the version, the date and who added them, so the data room index can be rebuilt at any time.

Can we work with several currencies?

Yes. Holdings are kept in their own currency, and the rate and date used for a report are recorded. Settings are agreed per fund and reviewed before the first pack.

Can portfolio companies enter their own figures?

Yes, where you choose to give them access. They fill the set template, and your portfolio team reviews it before it enters reports.

Can we import our deal tracker?

Yes. Your tracker spreadsheets, contacts and investor details can be imported, and the deal team reviews them against the originals before anyone starts work in the system.

Who owns the data?

The firm does. How records leave the system at the end of a contract is agreed in the proposal.

What does it cost?

No price is published. Users, funds and the amount of configuration shape the price, which you receive in writing once you have seen a demonstration.

Does a small team need it?

Possibly not yet. With a handful of deals and one fund, a tracker may do. A scoping session can say so plainly.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
