GullySystem
Retail · Supermarkets Management Software

One system for checkout lanes, shelf stock, expiry dates and supplier deliveries.

Manage item masters, barcode labels, checkout lanes, weighed produce, supplier orders, goods receiving, batch expiry, markdowns and loyalty for a supermarket in one system. Department heads see which batches are due to expire and which shelf bays are running bare. Cashiers work from one price file. The manager closes each shift against the cash counted, the card batch and the day’s wastage.

  • Item master, departments and barcodes loaded before the first lane opens
  • Expiry rules chosen by department, with dry goods left simple
  • Changes to promotions and label formats made by GullySystem staff on request

A supermarket holds its item masters, lane billing, supplier receiving, expiry control and promotions in one system that GullySystem configures. Each product holds its EAN-13 barcode, department, tax setting and supplier, and perishable lines are received by batch with a use-by date. Wastage, shift closing and loyalty points are recorded from the same price file the checkout uses.

Where it breaks today

What goes wrong before the software.

Expiry dates live on cartons, not in a record

A chilled line arrives with a use-by date inkjetted on the outer case. Unless someone keys it in at the dock, no list can say which yoghurt trays must be marked down on Thursday.

Shelf labels and lane prices come from different files

A weekly special is keyed at the till and printed separately for the aisle strip. When one changes without the other, the cashier and the shopper argue at the belt over a price while the queue grows.

Delivery notes are signed before they are checked

A supplier’s driver waits at the dock while pallets are counted by eye and the delivery note is signed in a hurry. Short supply and cracked jars of pickle are found only when the invoice arrives a week later.

Wastage is one number for the whole store

Spoiled produce, broken glass and expired dairy are thrown into the same compactor bin and logged as one number, so the produce head and the dairy head cannot see their own losses.

Weighed items need a scale and a price

Loose fruit, sliced deli meats and bakery loaves are priced by kilogram through price lookup codes. A wrong tare or a stale label on the scale means the lane charges a figure that no one set.

Reorders follow habit instead of sales

Buyers order from last week’s list on a clipboard. Fast lines run out by Saturday afternoon, while slow tins of chickpeas and tomato paste fill the backroom racks for months.

How it runs

How the work flows through it, step by step.

  1. 1

    Item set-up

A new product is added with barcode, department, pack size, tax setting, supplier and shelf location, and the shelf-edge label prints from that same record. The till reads that record too.

  2. 2

    Purchase order

Buyers raise orders to suppliers, distributors and local producers from sales and stock levels, and each order goes out by email or messaging with the agreed case rate. The delivery day is printed on it.

  3. 3

    Receiving

Cartons are counted against the delivery note, short or damaged cases are noted, and chilled goods are probed with a thermometer before the driver leaves. Perishable batches go in with their dates.

  4. 4

    Shelf and promotion

Stock moves from the backroom to the shelf with the oldest batch forward. Price changes and multi-buy offers start and end on their set dates, and shelf labels for the affected bays are reprinted that same day.

  5. 5

    Checkout

Cashiers scan and weigh, apply offers, take cash, card or vouchers and add loyalty points at the belt. At shift end, the cashier counts the drawer and the card terminal batch is settled before the lane closes.

  6. 6

    Markdown and wastage

Items nearing their date are marked down by department with a coloured sticker. What cannot be sold is written off with a reason, and the loss is read against that department’s sales.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Item master and labels

Keep every product with its barcode, unit, department, supplier and tax setting, and print shelf-edge labels and weighing-scale labels from the one record. No aisle strip disagrees with the till.

Lane billing

Scan or weigh at the lane, apply offers, split payment across cash, card and vouchers, and park a basket when a shopper walks back for a forgotten carton of milk.

Weighed and loose items

Price produce, deli and bakery lines by weight through price lookup codes, with a scale label or a lane scale, and keep the net weight printed on the bill.

Batch and expiry

Receive chilled, dairy, bakery and packaged lines by batch with a date, then list what falls due by department. Markdown stickers are planned before the oldest stock reaches the front.

Supplier orders

Raise purchase orders from reorder levels and recent sales, with the agreed case rate, pack size and delivery day for each supplier.

Goods receiving

Match each delivery with its order and delivery note, record short supply and rejected cases, and hold a supplier’s invoice against what the dock actually counted.

Promotions and price changes

Specials, multi-buy offers and price changes carry a start date and an end date. The lane price and the shelf label switch over at the same moment.

Wastage and stock counts

Write off spoiled and expired items by reason, and run cycle counts by aisle and bay, so shrinkage from theft or mis-scans shows up beside the recorded loss.

Loyalty and offers

Link baskets to a membership number or a phone number, accrue points by category, and send an offer to shoppers who buy a given line.

Shift and cash closing

Open and close each lane with a float, count the drawer, reconcile the card terminal batch and voucher totals, and log any variance against the cashier.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Product Management

One record per product holds its barcode, unit, department, supplier and tax setting, and every shelf-edge label is printed from it.

  • Point of Sale Billing

Cashiers scan and weigh at the lane, apply offers, split tender across cash, card and vouchers, and park a basket without losing it.

  • Batch and Serial Tracking

Chilled and dairy cartons are received by batch with a printed use-by date, so a list shows what must be marked down before it expires.

  • Goods Receipt (GRN)

The dock clerk matches each delivery with its order and delivery note, recording short supply and rejected cartons before the vehicle leaves the bay.

  • Purchase Order Management

Buyers raise orders from reorder levels and recent sales, with the agreed case rate, pack size and delivery day printed on each order.

  • Price Lists and Schemes

Weekly specials and multi-buy offers carry start and end dates, so the lane price and the shelf label change at the same moment.

  • Loyalty and Offers

Baskets link to a membership number, points accrue by category, and an offer reaches shoppers who bought a given line.

  • Stock Tracking and Alerts

Spoiled and expired items are written off by reason and department, and aisle counts expose the shrinkage that the wastage log cannot explain.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For owners and store managers

Read sales by department, expiry exposure, wastage, supplier shortages and cash variances across the day, from the office or from a phone on the shop floor.

For cashiers

Scan, weigh and tender at the lane, apply a voucher or a loyalty number, and close the till against the drawer count at shift end.

For department heads

Check shelf gaps, near-date batches and markdown lists for grocery, dairy, bakery, produce or household, before the morning rush fills the aisles.

For receiving clerks

Check cartons at the dock against the order, note short supply and warm chilled goods, and key in batch dates before the pallet jack moves.

For buyers

Raise orders from sales and stock levels, compare supplier case rates, and plan promotions with the supplier’s funding noted against each line.

Reports

The numbers the owner asks for.

  • Sales by department, category and hour of the day
  • Batches due to expire this week, by department
  • Wastage by reason, department and week
  • Deliveries received against orders, with short supply
  • Promotion sales against the same line without an offer
  • Shift closing variances by lane and cashier
  • Slow and fast lines against shelf space and stock held
Good fit

Who this is built for.

  • Independent supermarkets with several departments
  • Chains of two to ten stores sharing an item master
  • Large grocery stores with bakery, deli and produce counters
  • Hypermarkets with household and general merchandise floors
  • Cooperative stores and membership supermarkets
Honest answer

When it is not the right choice.

Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Departments and item list

Grocery, dairy, bakery, produce, household and any service counter you run are set up with the barcode list you already use, so shelf staff meet familiar names on day one.

Expiry rules

You choose which lines are received by batch and how many days before a date a markdown list should appear. Dry goods can stay simple.

Tax and receipt format

Each product carries its own tax setting, and the text printed on the till slip is checked against local rules by your accountant before go-live.

Scales and printers

Weighing scales, thermal label printers and barcode scanners already on the floor are checked for compatibility during set-up, so nothing serviceable is thrown away.

Opening stock and suppliers

Suppliers, outstanding orders and counted stock come in from your existing spreadsheets. Staff walk the aisles with handheld scanners to confirm quantities before the first lane goes live.

Hosted by GullySystem

Lanes, backroom and head office all work from one shared set of records held on our servers, so a price change made once shows at every belt. Shelf labels follow.

Common questions

Questions owners ask before a demo.

Can it manage expiry for chilled and dairy lines?

Yes. Those lines are received by batch with the printed date, and a list then shows what falls due by department, so a markdown sticker can be applied before the date arrives.

How do weighed items work at the lane?

A loose item is weighed on a scale that prints a label, or on a lane scale built into the belt. The net weight and the price per kilogram are stored on the bill.

Can shelf labels and lane prices change together?

Yes. Every special has a start and an end date. The lane picks up the new price at the stated hour, and the shelf labels for that aisle print from the very same entry.

What happens when a delivery arrives short?

The clerk enters the quantity received against the order. The shortage is recorded against the supplier, and the invoice is held against what the dock actually counted, not what the driver claimed.

Can several stores use one item master?

Yes. Products and prices are kept once, while each store holds its own stock, orders and offers where they differ. Transfers between stores are recorded as a movement out of one and a receipt into the other.

Does it record wastage by department?

Yes. Spoiled, expired and broken items are written off with a reason and a department. The produce head and the dairy head each see only their own loss.

Can cashiers split payment across cash and card?

Yes. A basket can be paid with cash, card, vouchers or a mix of all three. Each tender is totalled at shift close against what was counted in the drawer and on the terminal.

Does the loyalty scheme need a membership card?

A membership number or phone number is enough. Points are credited by category rules you choose, and offers go out to shoppers who buy certain lines, such as infant formula or pet food.

Can my current item list be loaded?

Yes. A sheet with barcodes, names, units, departments and prices is loaded and checked, and duplicate barcodes and blank unit sizes are cleaned with your team first.

How is the system quoted?

The quote depends on how many lanes and stores you run and which departments need batch control. We show a demonstration built around your own aisle layout first, and only then do we put a figure on the lanes, stores and departments you need covered.
