Tyre Stock Control by Size and Brand

This module holds the count of every tyre in the shop by size, brand, pattern and rack. The counter can answer an enquiry from the screen, and the store sees which sizes are running low.

What the stock record holds

Each line is one tyre as the trade names it, such as a 185/65 R15 of a given brand and pattern. Same size, different pattern? Two lines. Two patterns of the same size are two lines, because their price and their buyers differ.

Size, brand and pattern

Width, aspect ratio, rim size, brand, pattern, load index and speed rating are kept as separate fields, so the counter can search the way a customer asks.

Tube, tubeless and ply

Two-wheeler and commercial tyres need the tube type or ply rating noted. These are recorded on the line so a wrong tyre is not pulled from the rack.

Rack and godown location

A tyre is noted against the rack or godown where it sits. Fetching a set of four does not mean searching the whole shop.

Reorder levels

The owner sets a minimum for each size. When the count drops under it, the size shows on the store’s list. Nothing is ordered on its own.

Counter lookup

A customer gives a vehicle model or reads out a size from the sidewall. The counter types it in and sees the brands held, the count of each and the selling price. A size that is out of stock can be quoted and ordered from the distributor in the same sitting. The enquiry is not lost.

How stock moves

Stock goes up when a purchase is received. It goes down when a tyre is invoiced. A transfer between outlets moves a count from one shop to the other. Returns and warranty replacements adjust the count the same way, with the reason noted.

What the client decides

  • Which sizes and brands are carried, and the reorder level for each one.
  • How racks and godowns are named, so the store and the counter use the same words.
  • Whether selling prices are held per tyre or worked from a price list and discount.
  • Whether a physical count is taken monthly or by rack in turn, and who signs it off.
FAQ

Frequently asked questions

Can a size be searched by the vehicle model?

Yes, where the shop has entered the sizes that fit each model. Otherwise the counter searches by size, as most tyre shops do today.

What happens when a tyre is sold but not on the rack?

The invoice still goes through when the owner has permitted it, and the shortfall shows on the store’s list so the rack and the count are put right.

How is a physical count recorded?

The store enters what is on the rack against each line. The difference from the system count is listed, and the owner decides whether to adjust it.

Does it order from the distributor automatically?

No. It lists the sizes below their level, and purchase staff raise the order. Ordering is covered in the purchase and distributor orders module.
