How to Automate a Tyre Shop Business

Start with tyre stock by size, brand and pattern. Open a job card for every fitting visit, and bill tyres, fitting, exchange and credit on one GST invoice. Start with stock by size, brand and pattern

A tyre shop sells a long list of sizes across several brands and patterns. Each combination needs its own count and its own rack location. Enter that list the way the counter sells it.

Record the load rating, the reorder level and the manufacture week of each tyre received. The counter can then look up a size while the customer waits. Store staff see which sizes have dropped below reorder level. The owner sees stock value and the age of what sits on the racks.

A barcode or label printer can be added for rack labels.

Open a job card for every fitting visit

Mounting, balancing, nitrogen filling, puncture repair and valve changes all happen in a bay. A job card opens against the vehicle and lists the tyres and the services. The technician and the bay are noted on it.

The technician marks each step done. Alignment readings and balancing weights are saved before and after the work. A later visit can be compared with the last one.

Each card gives the bay a queue. Before the work starts, the technician sees the vehicle, the tyres involved and the services the counter has listed for that visit.

Put tyres, fitting, exchange and credit on one invoice

One invoice can carry tyres, fitting charges, valves and weights. It also carries the credit for old tyres taken in exchange. Those old tyres are valued, counted and followed until they are sold on or disposed of.

Payment is taken in cash, by UPI or by card. Fleets and garages buy on account, so each has a running balance with invoices and payments listed. The owner reads credit outstanding by customer.

The shop decides its valuation rule for old tyres first. It is then entered in set-up.

Follow warranty claims and send reminders

A tyre that fails early becomes a claim on the maker. The vehicle number finds the sale, and the invoice shows the serial and manufacture week. The claim is logged, inspection notes are attached and the claim is followed to the maker’s decision.

What a maker accepts is the maker’s call. The shop keeps the record of what was sent. Rotation, alignment and replacement reminders go by WhatsApp or SMS, based on the last fitting date and the odometer reading held on the vehicle record.

When a notebook and UPI are still enough

A roadside puncture stall with no stock to count may find a notebook and UPI enough. The same can hold for a small shop with a few sizes and no credit sales.
