Software Solutions for Diamond Jewellery Businesses

Diamond jewellery is sold on the stone as much as the metal: carat weight, colour, clarity, cut and a grading certificate. A seller online needs the stone record, the certificate and the setting held together, with prices that follow both the stone and the metal, and with pieces held while a buyer decides.

At a glance

Sell stones with their certificates, grades and settings recorded together.

Two rings in the same gold can differ widely in price because of the stone. The catalogue must record the stone’s grades and certificate as carefully as the metal.

Businesses and operating models

Diamond jewellers online

A seller lists finished pieces with the stone details and the grading report beside each.

Build-your-own settings

A buyer chooses a stone and then a setting, and the order joins the two.

Wholesalers of stones and mountings

A trade seller lets jewellers browse certified stones and mountings and order on account.

How an order moves

The workflow for diamond jewellery.

  1. 1

    Stone recorded

Each stone is recorded with its weight, grades and certificate number, and linked to the piece it sits in.

  2. 2

Price built from stone and metal

Stone value and metal value are worked out separately and added, with making charge and tax.

  3. 3

    Hold during decision

A high-value piece is held for a stated period while the buyer arranges payment or visits.

  4. 4

    Certificate shown with the order

The grading certificate reference is attached to the order and the invoice.

  5. 5

    Insured handover

A piece leaves with an insured carrier or is collected in person, with a record of who received it.

Where it breaks

The challenges, and what they cost.

Stone and setting are priced apart

A stone changes price with the market while the setting follows the metal rate. A single price field cannot hold both.

Certificates do not match the stone

A certificate number copied wrongly onto a listing is found only when a buyer checks it.

Large orders sit unpaid

A high-value piece stays reserved for days while the buyer decides, and nobody else can buy it.

Requirements to assess

What is specific to this trade.

These are requirements we would confirm in discovery. They describe what the solution may need to handle. They are not features that already exist.

  • A stone record with grades and certificate details that cannot be mixed up with another stone
  • Separate stone and metal price components with their own update rules
  • Holds with an expiry for high-value pieces
  • Insured dispatch or in-person collection with a signed record
Recommended modules

What we would build for diamond jewellery.

Chosen from the commerce capabilities this business needs, not a list of everything.

Stone register

Weight, colour, clarity, cut, certificate number and issuer for each stone.

Stone and metal pricing

Two price components added together with making charge and tax.

Timed hold

Holds a piece with a stated expiry and a note of who placed the hold.

Certificate attachment

Stores the grading report against the stone and shows it to the buyer.

Handover record

Records the insured carrier or the person who collected the piece.

Users and permissions

Who works in the system, and what each can do.

Stone buyer

Enters and checks stone records against certificates.

Sales adviser

Holds pieces, answers questions and confirms orders.

Owner

Approves discounts and releases expired holds.

Integrations

What it would connect to.

An integration is confirmed only after its API, access and scope are checked. A connection that updates on a schedule is described as scheduled, not real-time.

  • Certificate details entered from the grading report, with any lab lookup scoped only after its terms are checked
  • Showroom billing and stock
  • Insured carriers and payment methods suited to large amounts
Implementation

How the work runs, and what we need from you.

What you provide

  • A sample of stones with their certificates
  • How you price stone and setting
  • Your hold and deposit rules

Model the stone first

The stone record is built and checked against real certificates before listings are made.

Start with certified pieces

Pieces that already have reports go online first, so the certificate link is proven early.

Deliverables

What you receive.

  • A stone and certificate record
  • Stone-plus-metal pricing rules
  • Hold and release flow
  • Handover record
Measurement

How progress is judged.

Measures are agreed against your own baseline. We do not promise a result in advance.

  • Listings where the certificate matched the stone on audit
  • Holds that expired unpaid
India and international

Selling at home and abroad.

Buyers abroad often ask for the issuing laboratory by name and for the report in their own language. Import duties and insurance for diamonds differ by country.

Diamond Jewellery E-commerce & Stone Management Software

Custom software solution

No existing GullySystem product records stones with their grades and certificates, so this is built to order. The showroom product can still hold the metal and counter side.

Common questions

Questions about diamond jewellery e-commerce.

Do you grade or certify diamonds?

No. Grading is done by a laboratory. The system records the report details and shows them with the piece.

Can it fetch certificate details from the lab automatically?

Possibly, for labs that offer a lookup. We would verify its access and terms first, so for now details are entered from the report.

Can a buyer pay in instalments?

Part payments can be recorded against an order with the piece held. The terms are yours to set and your adviser to confirm.
