The wrong colour arrives because the fabric code was written in the order book, said again on the phone, and typed differently on WhatsApp. An order should carry its own details all the way to the workshop.
Walnut was agreed, teak was delivered
The customer chose a particular fabric and a walnut finish, and paid an advance on it. Six weeks later the sofa comes off the tempo in the wrong shade. You can argue or you can remake it, and either way the family is telling relatives about it.
What an order holds
The customer’s choices, in writing
Size, fabric code, finish and any change to the standard model sit on the order line. The workshop reads the same words the salesperson wrote.
Advance and balance against the order
What was paid, by what mode, and what is still due. The balance follows the order rather than living in the receipt book.
Sent to the workshop or the supplier
A custom piece is marked as being made, with who is making it and when it is expected. A stock piece is simply reserved.
Status you can read out on the phone
Booked, in making, received, scheduled, delivered. The counter can answer a customer without walking to the back office.
A date that moves honestly
When the workshop slips, the expected date is changed on the order. The new date is what the customer is told, not the old one repeated.

Custom orders are where money and goodwill leak, so they get their own list.

Frequently asked questions
Can one order mix stock pieces and custom pieces?
Yes. A bed from the godown and a wardrobe being made can share an order. Each line carries its own status, so half the order can be delivered while the rest is still at the workshop.
Does the workshop get a login?
There is no separate workshop screen in this product. An outside karigar or supplier gets the order details on WhatsApp, the way he already works. Your store person updates the status when the piece arrives.
Will it stop the workshop using the wrong fabric?
No. It removes the excuse. The code is on the order, the order is what the workshop is sent, and a mistake after that is a mistake somebody has to own.
