Customer Messages, Reminders and Offers

Customer messaging sends order updates, delivery reminders and festival offers from the showroom record. Offers go to selected customers, and replies return to the showroom instead of one person’s phone.

Lists kept on personal phones

When offers go out from a manager’s own WhatsApp, the list is whatever numbers are saved there, so recent buyers and long-standing enquiries get the same message. Nobody can say who was contacted or who replied. The list leaves with the manager.

Messages sent from the order

Order confirmed

The message states what was ordered, in which fabric and finish, with the expected date, and it answers the call that would otherwise have come to the counter.

Ready for delivery

It is sent when the piece reaches the godown, with a request to confirm a delivery slot.

The day before

A reminder carries the delivery time window and the driver’s phone number, which gives the customer a fair chance of being at home. The customer knows when to be there.

Balance due

A courteous note before delivery means the driver is not the one asking for a cheque.

After installation

A short message asks whether the piece was delivered and fitted correctly, so a complaint reaches the showroom before it turns into a public review.

Offers to selected customers

Who bought what

A customer who bought a bedroom set is a candidate for a mattress, not another bed.

Who enquired and did not buy

A quote from four months ago, with what the customer looked at, makes a useful list.

By area

A delivery route or a new branch opening concerns some customers and not others.

Do not contact

The preference is recorded and respected on every list, because a customer who asked to be left alone should not be messaged again. It is a firm rule.

Kept with the customer

On the record

Every message sent is stored against the customer, so anybody picking up the conversation later can see what went before.

Replies

An answer comes back to the showroom and not to one person’s private phone.

What it produced

Offers are reported against the orders that followed, so the shop sees which ones were worth sending.

Frequency

A limit on how often one customer is contacted keeps the list usable.

FAQ

Frequently asked questions

Can messages be sent on WhatsApp?

Yes, through the WhatsApp Business API, along with SMS and email. The message goes from the business account, and the reply returns to the showroom.

How do we avoid sending offers to customers who just bought?

Lists are built from order history, so customers who purchased within a period you choose can be excluded. The same filter picks people who enquired and did not buy.

Are delivery reminders automatic?

Order confirmation, ready-for-delivery and day-before reminders can be triggered by the order’s own status. Which ones you switch on is decided during implementation.

What happens if a customer asks not to be contacted?

The preference is recorded against the customer and respected on every list afterwards.

Can we tell whether an offer sold anything?

Yes. Offers are reported against orders placed afterwards by the customers who received them, so you can see which messages produced business.
