Home services · Home Improvement Management Software

One connected system for leads, quotes, contracts, trades and stage payments.

Manage home improvement leads, surveys, quotations, signed contracts, subcontractor bookings, material orders, change orders and milestone payments in one system. From first enquiry to last snag, a project holds its scope, programme and unpaid amounts together. Project managers open their jobs on a phone, and each customer follows the plasterboard, tiling and fitting stages of their own build.

  • Price lists, options and project types entered the way you sell
  • Leads, open projects and unpaid milestones migrated
  • Edits to price lists and contract terms handled by GullySystem staff when asked

GullySystem configures Home Improvement Management Software so a renovation company can run enquiries, quotes, contracts, trades and stage payments from one place. Each project carries its survey, signed scope, joiner and plasterer dates, cabinet and worktop orders and change orders. Payments follow milestones, and snagging and warranty requests are logged against the finished job.

Where it breaks today

What goes wrong before the software.

Leads are followed up from memory

A quote is posted after the showroom visit, and the follow-up call happens only if somebody recalls it, so interested customers drift to a rival firm that rang back. Silence costs jobs.

Quote and contract differ

The signed scope is edited from the quote through small changes to the loft hatch, the skirting or the splashback. The project team builds from one document and the customer holds another.

Trades are booked one by one

Electricians, plumbers, tilers and plasterers are rung separately. A late screed or a missed skim coat moves the rest of the trades without anyone being told.

Change orders are priced late

A different tile, an extra socket or a switch to underfloor heating is agreed in passing on site, and the cost is argued at the final payment when nobody remembers the conversation. Disputes follow.

Supplier orders and site needs do not match

Carcasses, worktops, bifold doors and fittings are ordered from several suppliers. Delivery dates and fitter dates are tracked in separate files, and a skip or scaffold hire runs on regardless.

Warranty requests have no owner

After handover, a call about a hairline crack in the render or a sticking casement has no job number. It travels between office and site until someone picks it up.

How it runs

How the work flows through it, step by step.

  1. 1

    Lead

An enquiry comes in through a referral, the website form, the showroom floor or a trade partner. It is logged with its source and the type of project, such as a conservatory, dormer or kitchen.

  2. 2

    Survey and quote

A survey is booked and measurements are taken of walls, joists and openings. A quote is built with options, prime cost allowances and exclusions, then sent to the customer.

  3. 3

    Contract

An accepted quote becomes a contract with its scope, programme and payment milestones. The deposit is recorded.

  4. 4

    Build

Materials are ordered and trades are booked by date. First fix, second fix and plastering phases are tracked, inspections are recorded and variations are priced as they arise.

  5. 5

    Payments

Milestone invoices are raised as phases complete. Approved change orders are added, and receipts are posted against each invoice with the retention held back.

  6. 6

    Handover and warranty

Snagging lists are closed, and the customer signs off. Warranty requests later become jobs with a visit and an owner.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Leads and sales pipeline

Log each enquiry with source and project type, book the survey and follow each lead from showroom visit to a decision.

Surveys and measurements

Record room dimensions, photographs, damp readings, existing joists and wiring, and customer wishes, and carry them into the quote.

Quotes with options and allowances

Build quotes from your price lists with options, prime cost allowances and exclusions, keeping each version the customer has seen.

Contracts and milestones

Turn an accepted quote into a contract with scope, programme and payment milestones, and record the deposit received and the retention terms.

Project schedule

Lay phases such as strip-out, first fix, plastering, tiling and decoration on a calendar. Book your own crew, and show the customer which trade is on site on which day, including skip and scaffold hire.

Subcontractor bookings

Hold each trade’s availability and rates, from electricians and glaziers to tilers and joiners, book them against project dates and tell them of changes by message.

Supplier orders and deliveries

Order carcasses, worktops, windows, flooring and sanitaryware by project, record deliveries and mark items that are customer-supplied.

Change orders

Price each variation, send it for written approval and add it to the next milestone invoice once accepted.

Invoices and receipts

Raise milestone invoices with tax set per country, post receipts and show each customer’s balance, deposit and retention held.

Snags and warranty

List snags at the final walk-round, close each one, record handover and log warranty requests as jobs with a visit date.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Lead Management

Enquiries from referrals, forms and showrooms are logged with their source, and each lead keeps its next follow-up date after the survey.

  • Quote & Proposal Management

Quotes are built from your price lists with options and prime cost allowances, and every version the customer saw is kept for comparison.

  • Contract Management

An accepted quote becomes a contract holding scope, schedule and milestones, with the deposit and each payment due recorded.

  • Project Timelines with Gantt Charts

Phases sit on a calendar with their dependencies, so a late screed or delivery shows which trades and dates it will move.

  • Vendor Management

Each trade’s rates, availability and past jobs are held in one record, and bookings go out by message for confirmation.

  • Purchase Order Management

Orders for carcasses, windows and flooring are raised per project, and deliveries are received against them with shortages and damage noted.

  • Workflow and Approvals

A variation is priced, sent to the customer and added to the next invoice only after written approval is recorded.

  • Invoice Management

Milestone invoices are raised as phases complete, with tax set for your country and receipts posted against each one.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For owners

See leads, quotes won and lost, projects by phase, milestones unpaid and job cost against billing.

For sales and estimators

Log leads, book surveys, build quotes with allowances and follow each one to a signed contract.

For project managers

Run the programme, book plasterers and tilers, order worktops and fittings, price variations and record inspections from a phone or the office.

For subcontractors

Receive their dates, site access notes and drawings by message and confirm each booking.

For customers

See the programme, approve change orders and read invoices and handover notes for their own project.

Reports

The numbers the owner asks for.

  • Leads by source and conversion to signed contract
  • Quotes open, won and lost
  • Projects by phase and by project manager
  • Subcontractor bookings by trade and week
  • Variations pending and approved
  • Milestone invoices raised and retention held
  • Snagging and warranty requests open and closed
Good fit

Who this is built for.

  • Companies that sell and build kitchens, bathrooms and whole-house renovations
  • Firms that install windows, doors, flooring, cabinetry and fitted wardrobes
  • Contractors who build extensions, lofts, dormers and conservatories with their own and hired trades
  • Remodelling businesses that sell from a showroom or through trade partners
  • Owners who want the sale and the build on a single record
Honest answer

When it is not the right choice.

  • One tradesperson doing a few referral jobs a year gets by with a diary and an invoice template.
  • Design-led firms that mostly sell concept and drawings may find Interior Design Management System closer, and one-trade repair firms may prefer Handyman Management Software.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your price lists and options

We begin with product ranges, labour rates, options and prime cost allowances, laid out as your sales team prices a kitchen or extension now.

Contract terms and milestones

Stage payments, deposit rules and retention terms mirror the clauses in the contracts your customers sign, including variation wording.

Trades and suppliers

Subcontractors, their trades and rates, and the suppliers of cabinetry, glazing and flooring are set up with their lead times.

Currency and tax

Currency, tax lines and contract wording follow your country’s rules, and they are reviewed during implementation.

Leads and projects migrated

Enquiries still open, quotes out, jobs on site and stage payments not yet collected are brought across from your spreadsheets or CRM, and your estimators check them against the paper files.

Hosted by GullySystem

GullySystem hosts the system, so sales, the office and every project manager read the same records. Edits to price lists come from GullySystem staff.

Common questions

Questions owners ask before a demo.

Does it cover both selling and building?

Yes. One record carries the lead, the quote, the contract and the build. Nothing is retyped when the customer signs.

Can quotes include options and allowances?

Yes. Options and prime cost allowances are priced separately and shown to the customer. When one is chosen or used, the figure moves into the contract.

How are subcontractors handled?

Each trade has a record with rates, availability and jobs booked with you. Electricians, plumbers, tilers, glaziers and plasterers receive dates by message and confirm them, and a refusal reopens the slot at once.

Can customers approve change orders?

Yes. A variation is priced on the project and sent for approval by email or message. The accepted figure joins the next milestone invoice.

Can it handle customer-supplied items?

Yes. Items such as a customer’s own tiles or sanitaryware are listed as customer-supplied with a delivery check and condition note, kept apart from items you buy and bill.

Does it include design and drawing tools?

No. Drawings, mood boards and structural calculations are stored against the project, but the design itself is done in your own tools.

Can open projects and unpaid milestones be moved?

Yes. Your sales sheets and job lists supply the open leads, quotes, live projects and milestones still owed, and your estimators compare them with the originals before the first live week.

Who owns the data?

You do. The quotation states how lead, project and payment records can be taken out again, and that is agreed before the build begins.

What does it cost?

No list price is shown, because staff and trades added change the total. Watch a demo built around a kitchen or bathroom job first, then receive a quotation with the figure.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
