Home services · Handyman Management Software

One connected system for repair requests, visits, van stock and invoices.

Handyman requests, quotes, visit schedules, van stock, snag lists and invoices live together, so no dripping tap or loose hinge slips between calls. From the first call to the last payment, a job keeps its address, photographs, parts fitted and hours worked. Handymen see their own stops on a handset. Landlords and agents get one statement for the period.

  • Your own task list, hourly rates and call-out charges loaded as you price work
  • Existing customers, open jobs and outstanding invoices brought over
  • Later changes to tasks and rates made by GullySystem staff on request

Handyman and home repair firms use Handyman Management Software, configured by GullySystem, to run requests, quotes, call-outs and invoices. Each job carries its address, photographs, parts used and hours spent. Handymen see their stops on a handset. Fixings taken from the van, a landlord’s repeat bookings and any snag visit all attach to the original job.

Where it breaks today

What goes wrong before the software.

Requests arrive from many channels

Phone calls, texts, web forms and emails each carry a request. A dripping tap or a sticking sash window noted on a sticky pad is booked twice or not at all.

Small quotes are given from memory

A price given over the telephone for a curtain pole, a shelf or a letterbox is never written down. The tenant recalls one figure and the invoice shows another, and the argument costs the afternoon.

Van stock is used without a record

Rawl plugs, silicone, hinges, washers and grout leave the van with no note. The missing part is found on the doorstep.

Hours and extra trips are not billed

A second trip for a replacement hinge, or a skirting board that took longer than planned, is recalled days later. That time never reaches the invoice.

Landlord work is spread across many addresses

A letting agent sends snagging lists and repair orders for dozens of flats, and call-outs, approvals and invoices sit in separate inboxes with no single statement.

Snags and return visits are forgotten

A snag after a repair has no owner. The loose door handle or cracked filler is raised only when the tenant rings again.

How it runs

How the work flows through it, step by step.

  1. 1

    Request

A request arrives by phone, form, message or email. The office notes the address and kind of work. Photographs of the leaking tap, cracked tile or stained ceiling that the customer texts over are filed with the job.

  2. 2

    Quote or booking

A fixed-price task such as hanging a door is booked at once. A larger job like boxing in pipework is quoted from the task list and hourly rates, and the customer accepts, asks for changes or declines.

  3. 3

    Schedule

The call-out is assigned by skill and postcode. The handyman sees the address, the key safe code and the history of that flat on a handset.

  4. 4

    Visit

Parts used, hours spent and photographs are recorded on the job. Plaster left to dry, filler to sand or a part on order becomes a return trip with its own date.

  5. 5

    Invoice and payment

The call-out record turns into the invoice. Card or cash taken at the door is posted on site. Account customers receive an invoice, and letting agents get a monthly statement covering each flat.

  6. 6

    Follow-up

A reminder or check-in message follows the job. Yearly work such as testing smoke alarms or renewing bath sealant is booked from the same record, so repeat custom needs no fresh phone call.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Request intake and booking

Log every request with its source, address and photographs of the fault, then book a diary slot with the right handyman so a leaking tap never shares one gap. Nothing is lost.

Customer and property records

Keep each tenant, landlord, letting agent and flat with contact details, key safe codes and parking notes, plus a history of every call-out made. Whoever answers the phone sees one file.

Task list and quotations

Price common jobs such as door hanging, tap washers and flat-pack assembly from your own task list, hourly rates and minimum call-out. Quotes go out for acceptance with revisions kept.

Daily schedule and dispatch

Plan each handyman’s day by trade skill, postcode and travel gap, so a morning of shelf fixing and curtain poles stays in one district. His phone shows stops and access notes.

Visit notes and photographs

Record work done, hours, plasterboard or paint used, and before and after photographs against the visit, then close it with the tenant’s sign-off where required. The record is dated.

Van and supplies stock

Track screws, rawl plugs, silicone, hinges, washers and fittings issued to each van or taken from the trade counter. Reorder levels warn the office before a fast mover runs out on a Friday.

Invoices and receipts

Raise invoices from the visit record with tax set per country, split labour from parts, and take card payments at the door. Every customer’s balance is on one screen at the next call.

Landlord and agent accounts

Group repair orders by landlord or letting agent, apply an approval limit per flat, and send one statement covering every property in the period. Nothing above the limit is booked unseen.

Follow-ups and return visits

Flag unfinished work, book return trips for paint touch-ups or ordered parts, and send reminders for annual checks such as smoke alarm tests or bath sealant renewals. Each one has an owner.

Customer messages

The job record sends the booking confirmation, the arrival window and the finished-job note by email, SMS or a messaging app to tenants and landlords. Nobody in the office retypes a message.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Lead Management

Each request is logged with its channel, address and photographs, so nothing is lost between calls, forms and messages.

  • Estimate/Quotation Management

Quotes are built from fixed-price tasks and hourly rates, sent to the customer for acceptance, and every revision stays on file.

  • Technician Scheduling

Stops are matched to each handyman by skill and area, and the day’s list opens on his phone with access notes.

  • Job Cards

One job card holds the complaint, the work done, hours spent and photographs, and it closes only when the visit is finished.

  • Stock Tracking and Alerts

Fixings and fittings are issued to vans and used against jobs, and a reorder alert appears when a common line runs low.

  • Invoice Management

An invoice is raised from the visit with the tax lines set for your country, and payments are posted against it.

  • Service Reminders

Return visits and annual checks are dated at the end of each job, and a reminder goes to the customer before they fall due.

  • WhatsApp, SMS and Email Notifications

Booking confirmations, arrival windows and completion notes leave the job record by email, SMS or a messaging app without anyone retyping them.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For owners

See call-outs booked, quotes open, invoices unpaid, jobs per handyman and fixings, mastic and plasterboard used against billing.

For the office

Log requests, book call-outs, price quotes from the task list, raise invoices and send landlord statements.

For handymen

Open the day’s stops on a handset, add photographs and fixings used, collect the card payment and close each call-out at the door.

For landlords and agents

Approve quotes under an agreed limit, see repairs made at each flat and read one statement for the month.

Reports

The numbers the owner asks for.

  • Requests received by phone, form and message, with status
  • Call-outs completed per handyman, per postcode and per day
  • Quotes sent, accepted and declined, with call-out charges
  • Grout, mastic, sash cord, hinges and fixings used per job and per van
  • Unpaid invoices by tenant or agent, oldest first
  • Landlord statements by flat and by period
  • Snags and return trips still open
Good fit

Who this is built for.

  • Handyman businesses that send several people to hang doors, fit curtain tracks, regrout tiles and assemble flat-pack wardrobes each day
  • Home repair firms that take calls from landlords, tenants and letting agents
  • Property maintenance companies that look after rental blocks, student lets and holiday flats
  • Small firms that stock a van with fixings, silicone, architrave and ironmongery and call at many addresses
  • Owners who do the work and want quotes, diaries and invoices kept in one place
Honest answer

When it is not the right choice.

  • A single handyman with a few repeat customers can manage with a calendar, a notebook and an invoice template.
  • Kitchen fitters, extension builders and renovation firms are better served by Home Improvement Management Software, and electricians or plumbers may want a system built for their own trade.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your task list and rates

Start with the jobs you do most, from tap washers to shelf fixing, then hourly rates, minimum call-out and travel charges as you charge them now.

Service areas and skills

Districts you cover, what each handyman is qualified to do and which jobs he can take are recorded to match your team.

Currency and tax

Currency, tax lines and invoice wording follow your country’s rules, and they are reviewed during implementation.

Customers and open jobs migrated

Your spreadsheets or booking tool supply the tenant lists, flat addresses, running jobs and unpaid invoices.

Messages and payments

Booking messages and payment reminders go over email, SMS or WhatsApp, and card payments connect to your provider.

Hosted by GullySystem

GullySystem hosts the system, and the office and every handyman on the road read the same job records. Rate and task list changes come from GullySystem staff.

Common questions

Questions owners ask before a demo.

Is it for one-off repairs or repeat landlord work?

Both. A one-off repair is a short job with a call-out charge. A landlord account groups many flats, approval limits and one monthly statement. Both end in the same visit record.

Can we quote small jobs at a fixed price?

Yes. Common tasks such as hanging a door or fitting a curtain track sit in a list with a price or hourly rate and a minimum call-out. A job outside the list is quoted line by line.

Can a handyman use a phone at the job?

Yes. A handyman opens his stops, adds photographs and fixings used, and closes each visit. It needs a connection, so in a basement flat with no signal the entries wait until he is back in range.

Does it track van stock?

Yes. Items are issued to each van and used against jobs, with reorder levels for silicone, hinges and washers. It is a count by item, not a scan of every screw.

Can invoices include local tax?

Yes. Labour and parts can carry different tax lines on one invoice, matching the rules where you trade. Your accountant remains responsible for returns.

Can we send customers a booking confirmation?

Yes. Confirmations, arrival windows and completion notes go out by email, SMS or a messaging app. The wording is set with you.

Can existing customers and open jobs be moved?

Yes. Tenant lists, flat addresses, jobs in progress and invoices still owed come in from your spreadsheets. Someone in the office compares a sample with the originals.

Who owns the data?

You do. Your quotation spells out the file layout you get back for visit and customer records, agreed before the job starts.

What does it cost?

We do not publish a price, because it rests on headcount and on how the system is arranged for you. A demo with sample call-outs and invoices comes first. The figure follows in writing.

Does it know where each handyman is?

No. There is no vehicle or phone tracking. The office schedules stops by postcode, and the handyman marks each visit done on his handset.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
