Manufacturing · Industrial Cleaning Chemical Maker Software

Formulations, mixing batches, pack variants and customer trials for cleaning chemical makers.

Run a cleaning chemical plant from raw material to the customer’s workshop floor. Formulations with concentrate and ready-to-use variants, mixing batch records, pack and label sets, customer trials, contractor accounts and stock by strength are held together. Operators post charges at the vessel. Sales staff see what a trial customer tried, and the office invoices the right pack at the right dilution.

  • Products, variants and pack sizes keyed in as customers order them
  • Customer accounts and open orders migrated
  • Label wording checked by your safety and regulatory staff

Plants blending degreasers, descalers, alkaline washes and sanitisers keep formulations, mixing batches, pack variants, trials and contractor accounts in Industrial Cleaning Chemical Manufacturer Management Software from GullySystem. Every pack traces to its batch and strength. Private labels and customer trials stay on record.

Where it breaks today

What goes wrong before the software.

Several strengths share one name

Your heavy-duty degreaser is sold as a concentrate, a one-in-ten dilution and a ready spray. Stock counts blur them together.

Mixing sheets are not tied to the pack

The vessel record sits in the plant and the pack run sits in a different book. A complaint about a bottle cannot be traced to the vessel.

Private-label artwork is lost in email

Contractors send label files by message. A year later no one is sure which file went on which batch.

Trial feedback is verbal

A garage owner says the cleaner is too foamy. The comment is not recorded, so the next sample repeats the problem.

Caustic and acid charges are estimated

Operators scoop by feel when a scale is busy. Variation between batches shows up in customer complaints.

Reorder timing depends on the clerk

Contractors reorder irregularly, and the clerk remembers who buys what. When the clerk is away, calls go unanswered.

How it runs

How the work flows through it, step by step.

  1. 1

    Raw material receipt

Surfactants, builders, caustic, acids and solvents are received with supplier lot and storage location.

  2. 2

    Mix and test

The vessel follows the formulation revision. pH, density, foam and appearance are posted before release.

  3. 3

    Filter and fill

Filled packs, from spray bottles to drums, are recorded against the batch and labelled from the pack record.

  4. 4

    Trial and quotation

Samples go to prospects with the application logged. A successful trial becomes a quotation using the same formulation.

  5. 5

    Order and dispatch

Orders pick the right strength and pack, and the delivery note carries the batch numbers.

  6. 6

    Repeat supply

Each contractor account lists its usual order and when it last bought, which tells the sales desk who to ring this week.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Raw materials

Receive surfactants, builders, alkalis, acids and solvents with supplier lot, storage place and reorder levels.

Formulation base and variants

Keep one base formulation with concentrate, ready-to-use and private-label variants, each with its dilution ratio.

Mixing batch records

Post charges, pH, density, foam and appearance for each vessel, with release by a named operator or supervisor.

Packs and label sets

Hold spray bottles, jerrycans, drums and IBCs with their label files, fill volumes and customer-specific variants.

Filling runs

Record each filling run against its batch with units filled, samples taken and rejects.

Customer trials

Log samples sent, the application, the feedback and the decision. A trial can be turned into a quotation.

Contractor accounts

Hold accounts for cleaning contractors, food plants and workshops, with their usual products, standing orders and balances.

Stock by strength and pack

Show finished goods by strength and pack separately, so a concentrate is never invoiced as a ready-to-use bottle.

Safety documents

Attach the safety data sheet and label text to each product, and record which revision was sent to which customer.

Orders, delivery and invoices

Take orders, print delivery notes with batch numbers and issue invoices under your own tax rules.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Bill of Materials

A base formulation lists surfactants, builders and water, and each concentrate or private-label variant adds its own dilution ratio and pack options.

  • Batch and Serial Tracking

Every bottle and drum traces back to its vessel batch, so a complaint about foam leads to one charge sheet.

  • Quality Control

pH, density, foam and appearance are posted per vessel, and a batch off its tolerance is held until a supervisor decides.

  • Barcodes and Labels

Label files per customer variant print from the pack record, and the scanned label confirms the correct artwork on the filling run.

  • Lead Management

Each prospect with a sample out is logged with the application and feedback, so the follow-up call is based on what they said.

  • Estimate/Quotation Management

A trial that works becomes a quotation from the approved formulation, carrying the variant, pack size and agreed strength.

  • Order Management

Orders pick strength and pack separately and flow into delivery notes that carry the batch numbers filled.

  • Stock Tracking and Alerts

Finished goods are counted by strength and pack, with alerts when a popular concentrate falls below its reorder level.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For the plant supervisor

See batches mixed, packs filled, rejects and raw materials running low.

For operators at the vessel

Post charges and readings at the vessel on a phone, and see the recipe revision in force.

For sales staff

Log trials, send quotations from approved formulations and follow each contractor’s reorders.

For stores and dispatch

Pick by strength and pack, match each label to the order and print the dispatch slip.

Reports

The numbers the owner asks for.

  • Batches by formulation with pH and density at release
  • Stock by strength and pack
  • Trials by outcome and by salesperson
  • Private-label variants and their artwork
  • Contractor accounts by usual product and last order
  • Rejects and rework by filling run
  • Customer dues by invoice age
Good fit

Who this is built for.

  • Makers of degreasers, descalers and floor cleaners
  • Producers of food-plant sanitisers and CIP chemicals
  • Suppliers who blend for cleaning contractors under private labels
  • Workshop and vehicle-wash chemical makers
  • Blenders that sell concentrates to be diluted on site
Honest answer

When it is not the right choice.

  • A reseller who buys finished cleaner only to sell it on needs a distribution tool, not a plant system.
  • Plants that mainly make water treatment chemicals or solvents will find those manufacturer products closer.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Formulations and variants

Dilution ratios, grades and pack sizes are keyed in as your sales team quotes them.

Label sets

Label files and variant rules are entered per customer so the correct artwork is paired with each batch.

Trials and accounts

Running trials and contractor accounts are copied over from the notebooks and sheets your reps keep.

Safety wording

Label and sheet text follow what your safety and regulatory staff supply, and rules are reviewed with them during implementation.

Common questions

Questions owners ask before a demo.

Can the same cleaner be sold at different strengths?

Yes. Concentrate, diluted and ready-to-use versions are variants of one base, each with its own dilution ratio, pack and stock count.

How are private-label packs tracked?

Each customer’s label file, pack size and fill volume is stored on the variant, and the batch record shows which label set was used.

Can we record trial feedback?

Yes. A trial notes the sample, the application, who used it and what they said, so the next sample starts from that comment.

Does it support caustic and acid handling records?

Yes. Charge weights for caustic and acid are posted per batch, and the handling rules around them are drawn up with your safety officer.

Can the clerk see who is due to reorder?

Contractor accounts show the last order and the usual cycle, so the list of accounts to call comes from records, not memory.

Can two plants share the product list?

Yes. Plants can share formulations and keep their own stock, batches and dispatches.

How is it priced?

Pricing comes in the written proposal and follows the headcount and the plants covered, after a live walkthrough on your own product names.

Can we export our data?

Yes. Formulations, batches, trials, accounts and invoices all export to spreadsheet files, in a layout we agree in writing before the work begins and hand over on request.

Who handles changes later?

Your own authorised staff edit products and packs. Anything structural goes to GullySystem support.
