GullySystem
Travel · Limousine Company Management Software

One connected system for reservations, vehicles, chauffeurs and trip billing.

Limousine enquiries, quotes, reservations, vehicles, chauffeurs, trip sheets and invoices live in one system. Each booking carries its pickup details, its vehicle, its chauffeur and its charges from the first request to the final payment. Dispatch sees the fleet on one calendar. Chauffeurs open their own trips on a phone. Corporate accounts receive a statement built from completed trips.

  • Rate cards, vehicle classes and trip types entered the way you quote
  • Client list, open reservations and unpaid invoices migrated
  • Changes to fares and trip types made by GullySystem staff when asked

Limousine and chauffeur companies keep enquiries, quotes, reservations and trips in one place, with the system configured by GullySystem. Each booking carries its vehicle, its chauffeur, its pickup details and the charges added after the trip. Dispatch sees the fleet on one calendar. Corporate accounts, deposits and invoices follow from the same record.

Where it breaks today

What goes wrong before the software.

Requests arrive in several places

A phone call, a web form and a corporate travel desk email each carry a request. Without one list, a booking is lost or entered twice.

Fares are worked out each time

Hourly minimums, airport fees, waiting time and overtime change by client. A quote from last month is hard to find and harder to repeat.

The calendar and the workshop disagree

A vehicle is promised for Saturday while it sits booked for an inspection. Nobody sees the clash until the morning of the trip.

Chauffeur hours are guessed

Start and finish times live on paper sheets and messages. Overtime pay and rest limits are argued about at month end.

Extras reach the invoice late

Tolls, waiting time, extra stops and gratuity are remembered after the trip. Some are never billed.

Corporate statements are built by hand

Trip sheets from a month are gathered from drawers and inboxes. One disputed ride holds up the whole statement.

How it runs

How the work flows through it, step by step.

  1. 1

    Enquiry

A request arrives by phone, web form, email or a corporate travel desk. It is logged with the passenger, the date, the pickup, the stops and the kind of occasion.

  2. 2

    Quote and reservation

The rate card builds the quote, and it goes to the client. When the client accepts, it becomes a reservation with a deposit and a booking number.

  3. 3

    Vehicle and chauffeur

Dispatch assigns a vehicle and a chauffeur who are both free. The calendar shows servicing and cleaning blocks beside the booking.

  4. 4

    Pickup and trip

The chauffeur receives the details on a phone and marks the trip started and finished. The passenger gets a confirmation and a reminder.

  5. 5

    Trip sheet and invoice

Mileage, waiting time, tolls and gratuity are added to the trip sheet. An invoice is raised for the trip or added to the account statement.

  6. 6

    Follow-up

Payments are posted, referral commissions are worked out, and a repeat client is reminded before an annual event.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Enquiries and reservations

Log each request with its source, date, pickup, stops and passenger count, then confirm it as a reservation with a deposit and a booking number.

Quotes and rate cards

Build a quote from your rate card, with hourly minimums, airport fees, waiting time and overtime. Every revision is kept beside the booking.

Fleet calendar

See sedans, stretch vehicles, vans and coaches on one calendar, with bookings, servicing and cleaning blocks shown together.

Chauffeur roster and duty hours

Assign a chauffeur to each trip, record start, finish and breaks, and read the day’s hours from those entries.

Trip sheets and extras

Capture mileage, waiting time, extra stops, tolls and gratuity on the trip sheet, and carry them to the invoice.

Dispatch messages

The chauffeur receives pickup details and the passenger gets a confirmation or reminder, over email, text or a chat app.

Corporate accounts and statements

Hold rate cards, billing contacts and booking rules for each account, and raise a monthly statement from completed trips.

Invoices, deposits and receipts

Issue a tax invoice for each trip or each account, log deposits and part payments, and read every client’s balance with the oldest debt on top.

Vehicle servicing and documents

Track servicing, inspection, insurance and licence dates for each vehicle, with reminders before a date lapses.

Referral commissions

Record which hotel, planner or agent sent a booking, and work out the commission owed once the trip is paid.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Lead Management

Requests from phone, web form and travel desks are logged with date, pickup and occasion, then confirmed as a numbered reservation.

  • Quote & Proposal Management

A quote is built from the rate card with hourly minimums, airport fees and overtime, and each revision stays beside the booking.

  • Vehicle and Trip Management

Every sedan, stretch vehicle and van carries its own record, so bookings, servicing and cleaning blocks appear on one calendar.

  • Fuel and Driver Records

Chauffeur start, finish and break times are recorded per trip, and the day’s duty hours and overtime are read from them.

  • WhatsApp, SMS and Email Notifications

Pickup details go to the chauffeur and confirmations or reminders go to the passenger by email, SMS or a messaging app.

  • Invoice Management

Tax invoices are raised per trip or per account, with deposits and part payments posted and each client’s oldest balance shown first.

  • Asset AMC Tracking

Servicing, inspection and insurance dates are held for each vehicle, with reminders raised before a date lapses and a car is promised.

  • Commission and Incentives

A booking records the hotel, planner or agent that sent it, and the commission owed is worked out once the trip is paid.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For owners

See trips by day, fleet use, quotes open, dues by client and the commission owed to referrers.

For reservations and dispatch

Log requests, build quotes, assign vehicles and chauffeurs, and send confirmations.

For chauffeurs

Open the day’s trips on a phone, read the pickup notes, and mark each trip started and finished.

For accounts

Raise invoices and statements, post deposits and payments, and chase corporate balances.

For fleet managers

Keep servicing, inspection and insurance dates, and block vehicles for cleaning and repair.

Reports

The numbers the owner asks for.

  • Trips by day, vehicle and chauffeur
  • Quotes open, won and lost
  • Fleet use against available hours
  • Chauffeur duty hours and overtime
  • Corporate account statements and balances
  • Referral commissions owed and paid
  • Vehicle documents due for renewal
Good fit

Who this is built for.

  • Companies that run sedans, stretch vehicles and vans for airport transfers
  • Chauffeur firms that serve corporate accounts on a monthly statement
  • Operators that hire vehicles by the hour for weddings, proms and events
  • Fleets that take bookings from hotels, planners and travel desks
  • Owners whose trips are booked by phone and recorded on paper
Honest answer

When it is not the right choice.

  • An owner driving a single car on a few trips a week is fine with a wall calendar and an invoice template.
  • Operators whose main work is scheduled passenger routes or freight will find School Transport Management Software or Logistics and Transport Management Software closer.
Made to fit

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your rate card

Sedan, stretch and van classes, hourly minimums, transfer fares, fees and overtime rules are keyed in exactly as you quote them.

Trip types and extras

Airport transfer, wedding, corporate and night out are set up with their own rules for deposits and extras.

Duty and overtime rules

Chauffeur shift lengths, break rules and overtime rates follow how you pay and schedule.

Records migrated

Your clients, advance bookings and outstanding invoices are copied over from the calendar or spreadsheet you use now.

Messages and payments

Confirmations and reminders go by email, SMS or a messaging app. Fares and invoices use your own currency and local tax rules.

Common questions

Questions owners ask before a demo.

Does it cover hourly hire and point-to-point transfers?

Yes. Each reservation carries a pricing type. An hourly booking uses a minimum block and an overtime rate, and a transfer uses a fixed fare or a distance rate from your rate card.

Can a quote become a reservation without retyping?

Yes. When the client accepts, the quote is converted and keeps its pickup details, vehicle class and charges. Earlier revisions stay on the booking.

How does dispatch avoid a double booking?

The fleet calendar shows each vehicle and chauffeur with bookings, servicing and cleaning blocks. An assignment that overlaps another is flagged before it is saved.

Do chauffeurs get their trips on a mobile?

Yes. A chauffeur opens the day’s trips in a phone browser, reads the notes and marks each trip started and finished. It needs a data connection to update.

Can corporate clients get one monthly statement?

Yes. Completed trips for an account are gathered under its rate card into a statement. Each trip line can be opened if the client queries it.

Does it track vehicles live on a map?

No. There is no live tracking. Dispatch works from the assignments and trip sheet entries that the chauffeur and the office record.

Can referral commissions be recorded?

Yes. A booking can carry the hotel, planner or agent that sent it. The commission owed is worked out when the trip is paid, using the rate you set.

Can we bring across bookings and outstanding invoices?

Yes. Client lists, advance bookings and unpaid invoices are lifted out of your calendar or spreadsheet, and the dispatcher spot-checks a few trips before the first live day.

What happens to our records if we leave?

They remain yours. Before the work starts, we agree the file layout in which clients, reservations and invoices can be handed back.

How is pricing decided?

Pricing is quoted after a conversation about your fleet size, number of users and the extras you need. You see a working demonstration first, and a quotation comes after.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
