Travel and transport · Software for limousine companies

Keep every booking, chauffeur, vehicle and trip record in one place.

A limousine company sells a booked journey, so the record behind each booking matters. Limousine company software holds the reservation, the quote, the vehicle, the chauffeur and the trip sheet together. Airport transfers, weddings, corporate accounts and hourly hire follow one flow. Deposits, extras and invoices settle against the same booking that dispatch worked from.

At a glance

A limousine company sells a promise made days or weeks ahead: a clean vehicle, a chauffeur in the right place and a pickup at the stated minute. Reservations arrive by phone, web form and email, and from corporate travel desks. Each one carries special requests, from a child seat to a named sign at arrivals, and every request has to reach the chauffeur on the day.

Limousine company software keeps that promise on record. Reservation, quote, vehicle, chauffeur and trip sheet hang together on one booking, which dispatch and accounts both read. Nothing is retyped. Sedans, stretch vehicles, vans and coaches share one calendar.

How the work runs today

Bookings fall into a few kinds, and each kind follows its own rules for deposits, extras and cancellation. Airport transfers need flight details and a meeting point. Weddings and proms need a vehicle for a set block of hours, with decoration and route stops agreed in advance. Corporate accounts book against a rate card and expect a monthly statement. Hourly hire carries a minimum charge and an overtime rate after the booked block.

Dispatch assigns a vehicle and a chauffeur to each booking and checks that both are free that day. The chauffeur receives the pickup address, the passenger name and any notes. After the trip, waiting time, extra stops, tolls and gratuity are added to the invoice. Vehicles go to the workshop on a schedule of their own. Each one needs cleaning and a fuel check between trips.

Where it breaks

What goes wrong for limousine companies without a proper system.

Vehicles are double booked

Reservations kept in a calendar, a notebook and an inbox do not agree, so two clients are promised the same stretch vehicle on one evening. Nobody notices until the first chauffeur reaches the garage.

Quotes depend on memory

Hourly minimums, airport fees, waiting time and overtime are worked out afresh for each request. The quote sent last week is hard to find when the client calls back. Repeat work is priced twice.

Chauffeur hours are not recorded

Start time, finish time and breaks sit on a paper sheet or in a message. Overtime pay and duty limits then rest on guesswork. Disputes follow.

Servicing and renewals are missed

Inspection dates, insurance renewals and cleaning between trips are tracked by whoever remembers them. A vehicle turns out to be off the road only after it has been promised to a client.

Corporate statements take days

Trip sheets from a month of rides are gathered by hand before one statement goes out. A dispute over a single trip holds up the whole account.

What the software does

What we would build for limousine companies.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Reservations and quotes

Log each request with its date, pickup, stops and passenger count, build a quote from your rate card and confirm it as a reservation with a deposit. Revisions are kept.

Fleet calendar

See every sedan, stretch vehicle, van and coach on one calendar, where bookings, servicing and cleaning blocks sit together and a clash shows before anyone promises the vehicle.

Chauffeur roster and trip sheets

Assign chauffeurs, record duty hours and breaks, and capture the trip sheet with mileage, waiting time and extras. Hours come from these entries.

Dispatch messages

Pickup details reach the chauffeur and a confirmation reaches the passenger, through email, text or a chat app. Reminders go out before the pickup.

Corporate accounts and invoicing

Hold the rate card and billing contact for each account, raise trip invoices or a monthly statement, and post deposits and payments against them as they arrive.

Vehicle and licence dates

Track servicing, inspection, insurance and licence dates for each vehicle and chauffeur, with reminders before they lapse. Nothing waits on memory.

Common questions

Questions limousine companies ask before they call.

Does it handle both hourly hire and point-to-point transfers?

Yes. Each reservation carries its own pricing type. An hourly booking uses a minimum block and an overtime rate, and a transfer uses a fixed fare or a distance rate that you enter.

Does a small fleet gain anything from it?

Often, yes. Three or four vehicles sharing one inbox already meet double bookings. An owner who drives the only car may find a calendar and an invoice template enough.

Can chauffeurs see their own trips?

Yes. Each chauffeur opens a phone browser to see assigned trips, pickup details and notes, then marks a trip started and finished. Duty hours are read from those entries.

Does it track vehicles by GPS?

No. There is no live vehicle tracking. Dispatch works from assignments and trip sheet entries, and a tracking device from another supplier can be discussed during implementation.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
