Survey volume is settled from memory

A surveyor walks through the house and writes an item list on a pad. The lorry size, the crew and the packing material are then decided from memory rather than that list.

Rates are quoted on a phone call

A figure is agreed in a call, and nobody records what it covered. Packing material, loading charges and a second-floor carry are then argued about on moving day.

Packing lists stay on carbon sheets

Carton numbers and contents are written in a duplicate book that travels with the lorry. When a carton is missing at delivery, the office has no copy to check.

Crews and lorries are allotted by phone

The coordinator calls supervisors and drivers the night before and keeps the plan in his head. Two moves on the same morning can be promised one lorry.

Customers keep ringing for the goods

Between loading and delivery a family has only the driver’s number. The office cannot say where the lorry stands. Nor can it give the unloading day.

How the work flows through it, step by step.

    Enquiry

    A family or a company office asks for a shifting rate by phone, WhatsApp or the website form. Origin, destination and the shifting date go on an enquiry record.

  2. 2

    Pre-move survey

    A surveyor visits the house or office and lists every item, room by room. Floor and lift access go down too. The distance from the door to where the lorry can park is noted.

  3. 3

    Quotation and booking

    The item list becomes the quotation, with packing material, labour, vehicle and storage shown separately. On confirmation an advance is taken and the move joins the calendar.

  4. 4

    Packing and loading

    On packing day the crew numbers each carton and marks the fragile ones. The load is checked against the packing list, and a consignment note goes with the lorry.

  5. 5

    Transit and delivery

    The lorry’s position is updated for the customer until it reaches the destination address. At delivery the cartons are tallied, unpacked where asked, and the receipt is signed.

    Billing and claims

    The balance is billed with the extras actually used, and corporate moves go against the purchase order. A damage claim is logged with photos and followed to a settlement.

Is it meant only for packers and movers?

Yes. Surveys, packing lists, crews, consignment notes and claims are set up around household and office relocation work.

Can the pre-move survey be done on a phone?

Yes. A surveyor lists items room by room, attaches photos and marks fragile pieces, and the list saves against that address.

Does the quotation come from the survey list?

Yes. Packing material, labour, vehicle and storage are shown as separate heads, and the customer sees what the figure covers.

Can carton labels be printed?

Yes, where a label printer is attached at the packing end. Which printer suits your crew is confirmed while scoping.

Can a customer be told where the lorry is?

Updates are sent as halts are logged. On an owned lorry a GPS device can feed the position. A hired vehicle depends on the driver’s word.

How are damage claims recorded?

Each claim opens against the move, with survey and delivery photos attached. What it settles at is decided with the customer, and with the insurer where a policy exists.

Does it cover goods held in storage?

Yes. Storage in and out dates sit on the move file, and the days held can be billed with the balance.

Can corporate relocations be billed against a purchase order?

Yes. The purchase order number, the employee moved and the approved heads stay on the invoice, and the company keeps a running account.

Will the accounts figures reach Tally?

Not on their own. Your accountant can read invoices and payments in GullySystem, and an export is quoted after we see how your Tally ledgers are arranged.

Do two lorries and a small crew need this?

Perhaps not yet. If every move is booked and delivered inside a week with no credit, a duplicate book may still serve. A free technology audit will say so plainly.
