Crew and Vehicle Allocation for Movers

Each move needs packers, loaders, a supervisor and a vehicle of the right size. Allocation puts named people and a numbered lorry against the day, instead of a plan held in someone’s head.

Who and what is allotted

Packers and loaders

Named staff are put on the move, with the count the survey suggested. Stairs change the count. A heavy almirah on a third floor may need a fourth loader.

Supervisor

One supervisor carries the move file, the packing list and the delivery tally. He signs for the load.

Carpenter or technician

Where beds come apart or an air conditioner is to be taken off the wall, the right man is added to the same day.

Driver and vehicle

An owned lorry or tempo is picked by registration number, with the driver named against it and the route noted. Both reach the consignment note.

Hired vehicles

Vehicles taken from a transport contractor are marked as hired, with the contractor, the agreed rate head and the driver’s number held against each.

Clashes and the day view

One lorry on two moves is the mistake this screen is built to stop. A vehicle already allotted on a date shows as taken, and so does a supervisor. The coordinator reads the day with every crew and vehicle in one column, which makes an unloading that runs late visible before the next morning is promised. Leave, a breakdown and a vehicle under service are entered so nothing is allotted against them.

What allocation feeds

The crew’s own day

A supervisor opens the phone and reads the move, the address and the packing list for it. Nothing else is shown to him.

Wages and contractor bills

Days worked per packer and trips per hired vehicle are counted from the allocations, and your own pay terms apply to them.

Vehicle use

Trips, routes and days idle per lorry come from the same records, which helps when deciding on another vehicle. The owner reads it monthly.

What the coordinator still decides

  • How many loaders a flat and its staircase really need
  • Which contractor to call when your own lorries are out
  • Whether a crew does two small shifts in one day
  • Driver duty hours and rest, which stay a matter of your own rules

Frequently asked questions

Does it stop one lorry being booked twice?

Yes. The date shows that lorry as taken, and the coordinator has to free it before allotting it again.

Can hired vehicles be tracked the same way?

Partly. The contractor, rate head and driver number are held, but a GPS feed is available only on vehicles you own.

Do packers see the whole calendar?

No. A packer or supervisor reads only the moves allotted to him, and the owner decides whether more is shown.

Can allocation change on the morning itself?

Yes. A substitution is entered on the move, and the record keeps who was taken off and who went instead.
