Storage · Storage Facility Management Software

One connected system for units, tenants, recurring rent and overdue follow-up.

Manage storage units, reservations, rental agreements, tenants, recurring rent, deposits, overdue follow-up and site occupancy in one system. Each unit carries its size, door type, rate, current tenant and balance. Rent follows each tenant’s own due date, and owners read occupancy across every site.

  • Unit list, rate cards and agreement templates entered the way you operate
  • Current tenants, deposits and balances migrated
  • Edits to rates, templates and overdue steps made by GullySystem staff on request

GullySystem configures Storage Facility Management Software for self storage and warehouse operators who juggle units, reservations, agreements and rent. Each unit carries its size, door type, rate, tenant, deposit and balance. Rent is raised on each tenant’s own due date, overdue steps are recorded, and occupancy is read by site and unit mix.

Where it breaks today

What goes wrong before the software.

The unit plan and the ledger disagree

The plan is wrong. A roll-up door unit shows as vacant on the floor plan while the ledger holds a tenant, and staff learn this when a customer arrives with a van.

Rent falls due on many different dates

Tenants moved in on different days, so rent falls due across the whole month. A single invoice run suits none of them, and part-month starts need hand calculation at the desk.

Gate access and billing are separate

A keypad code stays live for a tenant who stopped paying, or stays blocked after payment. Staff edit the gate controller and the ledger by hand, one tenant at a time.

Reminders depend on who is on shift

Overlock notices wait for a free hand. Some delinquent tenants are chased on day three, others are left for months, and the late fee depends on who remembered to add it.

The promised rate is not on record

Street rates, first-month offers and long-stay discounts change through the year. Nobody can show which in-place rate a tenant was quoted, so rent increase letters start arguments.

Sites report on different sheets

Each site keeps its own occupancy sheet and its own list of vacant units. The owner builds a group view from several files at month end, and the totals rarely agree.

How it runs

How the work flows through it, step by step.

  1. 1

    Enquiry and reservation

The customer names a unit size and a move-in date. Front-desk staff check free units, quote the street rate and hold a unit, or the customer reserves online and pays a deposit.

  2. 2

    Agreement and move-in

The agreement comes from your template. The deposit and first payment are recorded, a keypad code and padlock are issued, and the tenant’s insurance cover is noted on the account.

  3. 3

    Recurring rent

Rent is raised on the tenant’s anniversary date at the in-place rate. Card, transfer and cash payments are matched to the invoice, and any shortfall shows on the tenant’s balance at once.

  4. 4

    Reminders and overdue steps

Reminders and late fees go out by your rules. A delinquent tenant moves through overlock, final notice and whichever lien steps your agreement allows, each one dated on the account.

  5. 5

    Move-out

The caretaker inspects the unit, the deposit is settled and the keypad code is closed. The unit is swept, the door is checked, and the listing goes live again the same day.

  6. 6

    Review

The owner reads occupancy, rent collected and arrears by site and unit mix, then lowers or raises street rates where space sits empty or the waiting list is long.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Unit register and site plan

Record every unit with its size, floor, door type, climate control and rate, and see free, reserved, occupied and out-of-service units on a plan of each building and corridor.

Enquiries and online reservations

Log each enquiry, hold a unit and convert the reservation to a move-in. Customers can pick a size from your website and reserve a locker, a pallet bay or a mezzanine room themselves.

Rental agreements

Prepare agreements from your own template, hold the signed copy against the unit, and see renewal, holdover and notice dates for every tenancy on one weekly list.

Tenant accounts and receipts

Keep one account per tenant with contacts, deposits, insurance cover, invoices and receipts, and show the balance in seconds while the customer waits at the counter with a padlock in hand.

Recurring rent billing

Raise rent on each tenant’s anniversary date and apply the in-place rate agreed at move-in. Accept card, transfer or cash, and match each payment to its invoice without retyping a single reference.

Automatic payment mandates

Hold a tenant’s standing permission to charge rent each cycle. Failed collections appear the same day, so the desk can phone the tenant before the keypad is overlocked.

Overdue and late-fee follow-up

Send reminders, add late fees and record overlock and lien notices. Each step is logged on the tenant with its date, so a later auction can be defended from the record.

Rate cards and promotions

Maintain street rates by unit type and site, run first-month offers and long-stay discounts, and keep the in-place rate each tenant was given so rent increases can be planned.

Multi-site consolidation

Run every facility on one system. Each site keeps its own units, caretakers and keypad codes, while the owner reads occupancy, arrears and move-ins across all of them from a single screen.

Move-out and turnover

Record the inspection, settle the deposit, close the keypad code and mark the unit ready to let again once the caretaker has swept it and replaced any damaged padlock.

Tenant messages

Email, text or chat-app payment reminders, receipts and rate notices go out from the tenant’s own account, and each message is kept beside the invoice or notice it concerns.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Online Booking Portal

A customer picks a size and site on your website and reserves a unit, which the desk sees at once and converts into a move-in.

  • Contract Management

Each unit holds its signed agreement with start date, notice period and renewal date, so terms are read from the record, not a filing cabinet.

  • Subscription Billing

Rent is raised on each tenant’s own anniversary date at the rate agreed on move-in, and every payment is matched against its invoice.

  • Mandates and Auto-Debit

A tenant authorises rent to be collected each cycle, and failed collections are listed the same day for the desk to follow up.

  • Collections and Payment Follow-Up

Overdue tenants appear as a daily list with reminders, late fees and notices logged on each account, so follow-up never depends on who is on shift.

  • Price Lists and Schemes

Rates are held by unit type and site, limited offers are switched on and off by date, and each tenant keeps the rate they were given.

  • Multi-Branch Consolidation

Every facility runs on the same system with its own units and staff, while the owner reads occupancy and arrears across all sites together.

  • WhatsApp, SMS and Email Notifications

Payment reminders, receipts and notices are sent from the tenant’s record by email, SMS or messaging apps, and each message is logged.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For owners

See occupancy, rent collected, arrears and move-ins against move-outs by site and unit mix, then decide where street rates should move and which sites need more climate-controlled space.

For the front desk

Answer enquiries, reserve units, complete move-ins, issue padlocks, take payments, and show a tenant’s balance, insurance cover and gate code on one screen.

For site managers

Inspect units at move-out, mark them ready, and follow delinquent tenants at their own site. Sweep lists and overlock lists print each morning.

For accounts

Reconcile card and transfer payments, review failed collections, issue invoices, track deposits held against each unit, and prepare tax records for the accountant at period end.

Reports

The numbers the owner asks for.

  • Occupancy by site and unit mix
  • Rent invoiced and collected by period
  • Arrears by tenant, oldest first
  • Move-ins against move-outs
  • Reservations open and converted
  • Street rate against in-place rate
  • Failed automatic collections
Good fit

Who this is built for.

  • Self storage operators with one or several facilities
  • Warehouse operators who let space by the unit or the bay
  • Container and vehicle storage yards
  • Operators who offer climate controlled and boat or caravan storage
  • Property companies that run storage beside other lettings
Honest answer

When it is not the right choice.

  • A single small store with a handful of units can manage with a spreadsheet.
  • Businesses that move household goods will find Packers and Movers Management Software closer, and freight handlers will find Logistics and Transport Management Software closer.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Units and rate cards

Unit sizes, floors, door types, climate control and street rates go in site by site, exactly as you advertise them, with each building drawn as its own plan.

Agreement template

The rental agreement carries your wording, with your deposit rules, insurance clause, holdover terms and notice periods written in, and the signed copy filed against the unit.

Overdue sequence

Reminder dates, late fees, overlock and notice steps follow your agreement and are checked against local lien rules at the start. Changes are made on request.

Currency and tax settings

Each site can bill in its own country’s money and apply its own local tax treatment, with invoices and receipts printed in the right language.

Common questions

Questions owners ask before a demo.

Is it for self storage or warehouse space?

Both. A unit can be a small locker, a mezzanine room, a pallet bay or a parking space, and each one has its own size, rate and tenant record.

Does rent follow each tenant’s own date?

Yes. Invoices are raised on the anniversary of each move-in, not in one monthly run. Part-month starts, prorated first invoices and rate changes follow the rules set with you.

Can it control the gate?

Not directly. Where your keypad or turnstile controller offers a way to connect, codes can follow payment status. Where it does not, the software lists who should have access. We look at this with you early on.

How are overdue tenants handled?

Reminders, late fees, overlock and notices go out by your own rules, and every step is recorded. Lien and auction rights differ from one jurisdiction to the next, so you and our team settle which steps the software may take.

Can customers reserve online?

Yes. A customer chooses a size and site, reserves a unit and pays a deposit through a gateway you choose. Staff see the reservation immediately and can still change the unit.

Can we run several sites?

Yes. Each site has its own units, rates and caretakers, and the owner reads totals across all sites. Staff access can be limited to one site.

Can current tenants be moved in?

Yes. Your unit list, sitting tenants, deposits held and balances load from a sheet or the old system. Someone from the desk then walks the corridors and checks doors against the screen.

Who owns the data?

You do. Tenant accounts, signed rental agreements and lien notices can be taken out as files, in a format set down in the quotation.

What does it cost?

No price is published. The quotation reflects how many staff log in, how many sites you run and which options you switch on. Managers see a live walkthrough of unit availability, rental agreements and keypad access before a quotation is written.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
