Travel and transport · Software for storage facilities

Keep every unit, tenant, rent charge and gate code on one record.

Self storage and warehouse operators rent out units by the month and need to know, on any day, which are free, who holds each one and what is owed. The software holds units, tenants, agreements, recurring rent, padlock and keypad codes, and overdue follow-up together.

At a glance

A storage facility looks simple from the road. Behind the gate there are roll-up units, drive-up bays and climate controlled rooms, tenants who arrive and leave all year, and rent that falls due on different dates. Occupancy sits on a plan, balances sit in a ledger, and keypad codes sit with whoever is on the desk.

Unit and rent tracking for storage operators starts with the unit itself. Each one carries its size, door type, features, rate, current tenant, agreement and balance. Move-ins, move-outs, reminders and overdue steps all follow from that one record, across every site you run.

How the work runs today

Customers enquire by phone, on the website or at the counter. They ask for a size, a start date and sometimes climate control or space for a caravan, boat or van. The desk checks what is free, reserves a unit, takes a deposit and prepares the agreement. On move-in day the tenant signs, pays the first period, receives a keypad code and a padlock or a key, and the unit changes status to occupied.

Through the month, rent falls due on each tenant’s own anniversary date. Reminders go out, payments are matched and late fees follow your rules. Some tenants stay for years and some for a few weeks. When a unit is vacated, it is inspected, swept and listed again. Units that stay unpaid move through the steps your agreement and local rules allow, which are set up with you during implementation.

Where it breaks

What goes wrong for storage facilities without a proper system.

Occupancy and the ledger disagree

The unit plan says a unit is vacant while the rent ledger still shows a tenant. Staff learn of it only when a customer turns up for a roll-up unit already taken.

Rent dates differ for every tenant

Each tenant moved in on a different day, so rent is due all month long. Raising and chasing invoices from one monthly run does not fit. Pro-rata first periods add to it.

Access control sits apart from billing

A keypad code stays active after a tenant stops paying, or stays disabled after a payment is made. The gate controller and the ledger are updated by hand.

Overdue follow-up is inconsistent

Reminders, late fees and notices depend on who is on shift. Some tenants are chased early. Others are not chased at all, and their padlock stays on a unit nobody has paid for.

Rates change without a record

Street rates, discounts and long-stay offers are adjusted over time for each unit size, and nobody keeps the old ones. Which rate was this tenant promised? Nobody can say.

What the software does

What we would build for storage facilities.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Unit register and site plan

Record every unit with its size, floor, door type, features and rate. See free, reserved, occupied and out-of-service units by site, from ground-floor drive-up bays to upper mezzanine rooms.

Reservations and enquiries

Log each enquiry and hold a unit for a customer. Convert the reservation to a move-in when the tenant arrives with ID and a deposit. Customers can reserve online.

Agreements and move-in

Prepare the rental agreement from your own template, record the deposit and the first payment, issue the keypad code, and note the padlock or key handed over.

Recurring rent and billing

Raise rent on each tenant’s own due date, apply the rate agreed at move-in, and accept payment by card, transfer or cash at the desk. Pro-rata first periods are worked out for you.

Overdue and lien steps

Send reminders, add late fees, record notices, and move a unit through the steps your agreement allows towards an overlock or a lien sale. The sequence is configured during implementation.

Move-out and unit turnover

Record the inspection and return any deposit. Sweep the unit, check the roll-up door and relist it. The full history of past tenants stays for the next enquiry.

Rates, offers and insurance

Maintain rate cards by unit type and site, run promotions and record the tenant’s goods cover where you require it. Climate controlled rooms carry their own rate.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, Tally reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions storage facilities ask before they call.

Will it connect to our gate or door controller?

It depends on the access system and whether it offers a way to connect. Where it does, keypad codes can follow payment status. Where it does not, the software shows who should have access and staff update the gate. The options are reviewed during implementation.

Does it handle more than one site?

Yes. Each site keeps its own units and rates, and the owner reads occupancy and balances across all of them. Staff can be limited to their own site.

Can customers reserve and pay online?

Yes. A customer picks a size, reserves a unit and pays through a payment gateway you choose. Tenants can also see their balance and receipts after signing in.

How are unpaid units handled?

Reminders and fees follow your own rules, and each step is recorded on the tenant. The law on overdue units varies from country to country and sometimes from region to region, so we agree the whole sequence with you while configuring the system.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
