A job’s quote, booking, house bill draft, buying costs and selling invoice usually sit in separate mailboxes and spreadsheets. GullySystem would build one job file per shipment with the documents, charges bought and sold, milestones and agent account on it. Each job’s margin can then be read before the file closes.

How the work runs today

An enquiry comes in for a 20-foot container from Nhava Sheva to Jebel Ali, or for a few cartons by air. The pricing desk asks lines, co-loaders or airlines for rates and quotes ocean freight, THC, documentation and local charges.

Once the shipper accepts, operations takes the booking, arranges the transporter and the CHA, and follows stuffing, gate-in and sailing. Documentation prepares the draft HBL from the shipping instructions and checks it against the MBL.

Pre-alerts go to the overseas agent after departure. Vendor bills from the line, the CFS and the transporter arrive later, and a job is closed only once they are matched. Agents settle through a statement of account.

Record every selling charge beside the matching cost from the line, CFS, transporter, CHA and agent, in rupees or the billing currency. The margin then shows while the file is still open.

Track booking, stuffing, gate-in, sailing, arrival and delivery order against each job. Shippers receive each milestone by email or WhatsApp.

Overseas agent accounts

Keep a running account with each overseas agent for profit share, collect charges and costs paid on their behalf, and print a statement of account to settle against.

Common questions

Questions freight forwarders ask before they call.

Will it file shipping bills or bills of entry?

No. Customs filing stays with your CHA or customs broker. The job file can hold the reference numbers and copies they send back.

Can it pull container tracking from shipping lines?

Not on its own. Where a line, airline or tracking provider offers a feed your account can use, it can be read into the job. Otherwise operations enters each milestone.

Will invoices and vendor bills reach Tally?

Not built in. A file of selling invoices and vendor bills for your accountant is agreed while the system is configured. It carries its own quote.

Do we have to change our job numbers or bill formats?

No. The job number series, house bill layouts and charge heads follow what your team uses today. They are set during implementation.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.
