A third-party logistics company moves and stores goods for several clients at once, each on its own contract. Rates differ by client, lane and service, and the invoice at month end depends on counting what was handled. GullySystem would build one record from booking to delivery. Storage, trucking and extra services are then billed against each client’s contract and checked against the movements actually recorded.

A 3PL sells a bundle: warehouse space, a few trucks or hired vehicles, labour for loading, and sometimes last-mile delivery. Every client buys a different mix, and every contract carries its own rate card.

The operations team sees one day of movements while the accounts team sees a month of invoices. Software has to join the two, so what was done for a client is also what is billed to that client.

How the work runs today

A client sends a dispatch plan by email or WhatsApp in the morning. The planner splits it between the warehouse, own vehicles and market trucks, and the floor supervisor gets a list for the day. Hired vehicles are booked through a broker, and the advance is settled after the load is unloaded.

Drivers collect the proof of delivery, the POD, and a clerk chases the signed copies. Damage, shortage and delay claims arrive weeks later, and each client expects a reply with the loading record and the delivery proof attached.

Billing follows contract terms: per pallet, per carton, per trip, per kilometre or per tonne. Detention charges and special handling are added by hand. Client statements are then sent for each account.

Each client has its own rate card, and the biller picks the right one from memory. Mistakes show up on disputes.

Delivery proof arrives late

Signed PODs come back by courier or as phone photos, and no one can say which consignments remain open. Clients ask for status on calls.

Vehicle hire is settled apart from the client bill

The market truck’s hire and advance sit in a broker’s ledger, while the client’s freight is billed elsewhere. Margin on a lane stays unknown.

Extra charges are not captured

Detention, waiting time, re-delivery and special handling are noted on a chit or in a message. Many never reach the invoice.

Claims need records from three places

Is this a warehouse system or a transport system?

It joins both, since a 3PL does both. Which side leads depends on your contracts, and that is worked out in scoping before anything is built.

Can clients track their own consignments?

Yes, as part of the build. Each client can have a login to see its orders, delivery status and statements. Live vehicle position needs a GPS device or feed that your supplier allows.

Will invoices flow into Tally?

No live link is built in. A file of invoices for your accountant is a separate piece of work, quoted once the ledger layout is decided.

Can a ready-made transport package do this instead?

Often, yes. If you run only road freight on a standard rate list, a ready package is cheaper. Custom work pays off when contracts, storage and trucking are billed together.
