Travel and transport · Software for aircraft dealers

Hold every airframe, logbook, pre-buy finding and escrow step on one record per aircraft.

An aircraft changes hands on paper long before it moves on a ramp. The aircraft dealer software holds each airframe with its hours, logbooks, offers, inspection findings and closing documents. The escrow stages are logged on that same record. Registration and export checklists are added during set-up, matched to your own market.

At a glance

Aircraft are sold on records. A buyer reads the airframe and engine logbooks, the damage history and the airworthiness papers before he looks at the paint. If one page is missing, the price moves or the deal stops. That is the rule.

Sales and closing tracking for aircraft dealers puts the logbook set and the pre-buy findings first, because buyers, lenders and registries all ask for them. The aircraft is then followed from listing through to delivery.

How the work runs today

A dealer lists piston singles, turboprops, light jets and helicopters, some owned and some on consignment. Each listing carries total airframe time, engine time since overhaul, avionics fitted, damage history and the asking price. Enquiries arrive from marketplaces, trade shows, referrals and other brokers, and a salesperson qualifies the buyer on budget, mission and financing before arranging a demonstration flight.

When an offer is accepted, the buyer pays a deposit and the aircraft goes to an approved maintenance facility for a pre-buy inspection. Findings are priced. The parties agree who pays. Closing then needs a title search, an escrow agent, a bill of sale and registration or export papers. Trade-ins, lender payoff letters and the delivery date must all line up on one day.

Where it breaks

What goes wrong for aircraft dealers without a proper system.

Logbook gaps surface late

A buyer asks for the engine logbook and a missing entry is found in week three. Scans sit in a shared folder beside unrelated files. The owner must be asked again.

Pre-buy findings are argued by email

The inspection list returns as a PDF. Every item, its estimate and who agreed to pay it are rebuilt inside a reply chain. Nothing is tracked item by item.

Deposits and escrow live on a sheet

A refundable deposit, its release conditions and the escrow reference are kept by one person. The salesperson cannot see whether funds have cleared. Closing day arrives anyway.

Consignment terms are quoted from memory

An owner lists an aircraft with a floor price and a commission rate. Those terms sit in a signed PDF that the salesperson must reopen before any counter-offer goes to a buyer.

Trade-ins are valued apart from the sale

A trade-in is appraised in one file and the new sale priced in another. On closing day somebody works out the net figure with a calculator. Mistakes follow.

What the software does

What we would build for aircraft dealers.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Aircraft stock register

Record each airframe with registration, serial number, year, total time, engine and propeller times, avionics fitted and damage history, as owned or consigned stock.

Buyer enquiries and demonstration flights

Log every prospect with source, mission, budget and financing route, then book demonstration flights against the aircraft and a pilot.

Offers and purchase agreements

Hold each offer, counter-offer and signed agreement with its conditions, such as subject to pre-buy, financing or insurance.

Pre-buy inspection tracker

List the findings from the maintenance facility with an estimate for each, and record who agreed to pay before the deal moves on.

Deposits and escrow

Record the amount received, its release conditions, the escrow reference and the lender payoff letter against the deal.

Logbooks and closing documents

Keep scanned logbooks, airworthiness papers, the bill of sale and registration or export documents in a checklist per aircraft, so closing does not start with a search.

Consignment and trade-ins

Hold the consignment term, floor price and commission per owner, and an appraisal for every trade-in beside the sale it belongs to.

Common questions

Questions aircraft dealers ask before they call.

Can logbooks and airworthiness papers be stored with each aircraft?

Yes. Scans are filed against the airframe, engine and propeller, with entry dates and a list of what is missing. The papers your registry and buyers require are reviewed during implementation.

Does it handle aircraft on consignment?

Yes. Owner, floor price, commission rate and agreement term sit on the aircraft record. A sale then shows the owner’s settlement beside your own commission.

Is escrow handled inside the software?

No. The escrow agent holds the funds. The software records the deposit, the release conditions, the escrow reference and what remains before closing, so sales and finance read the same status.

Do we need this for a handful of aircraft a year?

Perhaps not. A small broker with two listings can keep a folder per aircraft. Once several aircraft, owners and pre-buys run together, a shared record is easier to keep accurate.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
