One connected system for emergency calls, key records, van stock and billing.

One system handles lockout calls, dispatch, job cards, key and keycode records, van stock, commercial contracts and invoicing. Each job carries its address, the technician sent, the identity check made and the parts used. Key records are limited to chosen roles, and each time one is opened it is logged.

  • Rates, stock items and job types keyed in as you quote them
  • Customers, contracts and balances owed brought across
  • Rate and access-role changes made by GullySystem staff on request

Locksmith businesses take calls, send out technicians, fill in job cards and bill customers through Locksmith Management Software, which GullySystem builds around their rates. Each job records the technician, the customer check, the work done and the stock used. Key and keycode records are held behind restricted roles. Commercial contracts and their visit dates are kept beside the call records.

Where it breaks today

What goes wrong before the software.

Dispatch relies on memory

Technicians are out in vans across the patch. The dispatcher guesses who is nearest, and the caller waits while he rings around.

Key records sit in open files

Keycodes, master key charts and issue lists are held in a book or a spreadsheet. Anyone with the file can read every system.

Checks at the door go unrecorded

A technician confirms the caller’s right to the property and moves on. The check is not written down, so it cannot be shown later.

Stock use is not tied to jobs

Blanks, cylinders and hardware are bought and fitted without a count. Job cost is a guess, and shortages appear mid-call.

Contract visits and emergency calls clash

Service agreements sit in a diary apart from the call list. A planned visit is missed when an emergency takes the technician.

Quotes are given by phone only

A price is stated on a call and not recorded. The customer and the technician later remember different figures.

How it runs

How the work flows through it, step by step.

  1. 1

    Call

The phone rings. Address, lock type, urgency and caller details go on the record, and a price range is given before anyone is sent.

  2. 2

    Dispatch

The nearest available technician is assigned by area and skill. The customer receives an arrival window by message or phone.

  3. 3

    Check and work

The technician records how the caller’s right to the property was checked, then the work done and each part fitted.

  4. 4

    Stock and keys

Parts are deducted from the van. New keys, cylinders and systems are added to the site’s key record under restricted access.

  5. 5

    Billing

The job card produces the invoice. Payment by card or cash is posted on site, and account customers receive an invoice.

  6. 6

    Follow-up

Rekeying, key audits and contract visits are scheduled from the job. Reminders go out ahead of each date.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Call intake and dispatch

Log every call with address, lock type and urgency, assign the nearest available technician and keep the customer informed.

Job cards and identity checks

Record the work, the person who authorised it and the check made on their right to the property, with photographs where needed.

Key and keycode register

Hold key systems, keycodes and issue lists for each site, visible only to chosen roles, with every view and change logged.

Master key systems

Record the levels of each master key system, which keys are cut, who holds them and which have been returned or lost.

Stock of blanks and hardware

Track blanks, cylinders, locks, closers and safes received, issued to each van and used on a job, with reorder levels.

Quotations and rate lists

Quote fitted work using your own labour, call-out and parts rates, with every version the customer received kept on file.

Commercial contracts

Hold service agreements for offices, shops and residential blocks, with visit dates, key audits and renewal dates.

Invoices and payments

Raise invoices with tax set per country, take card or cash on site, and show each account customer’s balance.

Technician schedule

Plan emergency cover and booked visits together, so a contract visit is not lost when a call takes the technician elsewhere.

Customer messages

Send arrival windows, booking confirmations and completion notes by SMS, email or a messaging app from the job record.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Technician Scheduling

Emergency cover and booked visits sit on one calendar, so a contract visit is moved deliberately and not lost when a call takes the technician.

  • Job Cards

Each job card holds the call, the check made on the caller, the work done and the parts fitted, and it closes only when billed.

  • Roles and Permissions

Only the roles you name can open a site’s keycodes or issue lists, and everyone else sees that a record exists and nothing more.

  • Audit Trail

Every view, edit and key issue is written with the user and the time, so a question about who saw a code has an answer.

  • Stock Tracking and Alerts

Blanks, cylinders and locks are issued to vans and used against jobs, and an alert appears when a common size runs low.

  • Estimate/Quotation Management

Fitted work is priced from the rate list for labour, call-out and parts, and every quote the customer saw is kept.

  • Contract Management

Service agreements hold visit dates, key audits and renewal dates, so commercial customers are visited and renewed on time.

  • Invoice Management

Invoices are raised from the job card with tax lines set for your country, and payments taken on site are posted against them.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For owners

See calls open, jobs by technician, stock used against billing, contract renewals and unpaid invoices.

For dispatchers

Log calls, assign technicians by area, give arrival windows and rebook visits when emergencies come in.

For technicians

Open assigned calls on a phone, record the check, work and parts used, and take payment on site.

For key custodians

Alone see the key and keycode records for each site, and issue or retire keys under a logged approval.

For commercial customers

Read visits made, keys issued and invoices raised for their own sites through the account record.

Reports

The numbers the owner asks for.

  • Calls received and response by technician and area
  • Jobs by type: lockout, rekey, fit and upgrade
  • Parts and blanks used against each job
  • Access log for key and keycode records
  • Contract visits due and renewals approaching
  • Unpaid invoices by customer, oldest first
Good fit

Who this is built for.

  • Locksmith firms that take emergency calls and send technicians out in vans
  • Locksmiths who work for landlords, letting agents and building managers
  • Businesses that install and service master key systems and access control
  • Firms that fit locks, safes and door hardware on new and existing buildings
  • Owners who need a record of every key issued and every door opened
Honest answer

When it is not the right choice.

  • One locksmith taking a few calls a week gets by with a phone, a notebook and an invoice template.
  • Businesses whose main work is installing alarms, cameras and access control may find CCTV Installer Management Software closer.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your rates and call-out charges

Your call-out fee, hourly rate, out-of-hours surcharge and the lock stock you fit go in as priced on your current sheet.

Roles and access rules

Who may see key records, who may issue keys and who may approve exceptions are set with you, and each view is logged.

Service areas and cover

Areas, technician skills and out-of-hours cover are set up so dispatch picks the right person for each call.

Customers and contracts migrated

Your book or spreadsheet supplies the customer list, contract terms, key records and any balances still owed.

Messages and payments

Arrival messages and receipts go over SMS, email or WhatsApp, and card payments connect to your own provider.

Hosted by GullySystem

GullySystem hosts the system, so dispatch and every technician read the same records. Edits to rates and roles come from GullySystem staff.

Common questions

Questions owners ask before a demo.

Is it for emergency calls or planned work?

Both. An emergency call is a short job with quick dispatch, and a planned visit is booked on the schedule. Both end in the same job card and invoice.

How are key and keycode records protected?

Only the roles you choose can see them, and each view or change leaves an entry in the audit log. The rules are agreed with you during implementation.

Can we record how we verified the customer?

Yes. The job card holds a field for the check made and the person who authorised the work. Your own procedure decides what is checked.

Can it manage master key systems?

Yes. Levels, keys cut, holders and returned or lost keys are recorded per system. The charts themselves are held as documents against the site.

Do technicians work from a phone?

Yes. They open assigned calls, record the check and parts used, and take payment on site. Because the app works online, a job in an underground car park may need a connection first.

Does it track stock in the van?

Yes. Items are issued to each van and used against jobs, with reorder levels for common cylinders and blanks.

Can existing customers and contracts be moved?

Yes. Your customer book, contract terms and key records are brought in from the files you keep, and whoever runs the office reads them against the originals before the first dispatch.

Who owns the data?

You do. The quotation says how your call logs and key records are returned to you as files if you ever leave.

What does it cost?

No price list is published, because the figure follows the number of users and how the system is arranged around your vans. A demo with sample lockouts and key-cut orders comes first, then a proposal.

Does it show where each technician is?

No. There is no vehicle or phone tracking. Dispatch uses each technician’s area and open calls, and he marks each job done on his phone.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
