Dispatch fast, record every key cut and bill each call correctly.

Locksmith work is urgent, mobile and security-sensitive. The locksmith software takes the call, dispatches the nearest technician and keeps the job record: who asked, what was opened or fitted, which stock was used. Keycode and master key records sit behind restricted access, and invoices follow each job.

At a glance

A locksmith firm sells speed and trust. A caller locked out at night wants someone soon, and a landlord or building manager wants proof of who was given which key. Both depend on private, accurate records. Neither can wait.

Job and stock tracking for locksmiths treats the call as the starting record, carrying the address, the technician, the checks made on the customer and the work done. Stock is issued against it. The invoice follows. Nothing is guessed.

How the work runs today

Calls come in at all hours: lockouts, broken keys, lost keys, burglary repairs and lock upgrades. The dispatcher takes the address, lock type and urgency, then sends the nearest free technician with an arrival estimate. Planned work includes rekeying after a tenant leaves, fitting new cylinders, installing smart locks and servicing door closers. Technicians check the customer’s right to be at the property before opening a door, and record how that was done. Nights are busy.

Commercial accounts bring master key systems, suited keys, restricted key blanks and scheduled visits to offices, shops and residential blocks. Locksmiths carry blanks, cylinders, hardware and key cutting equipment in the van, so most calls can be finished on the first visit without a second trip for parts. Many also supply and fit safes, access control readers and door furniture. Quotes are given on the phone for simple calls, and in writing for fitted work and system changes. Detail matters.

Where it breaks

What goes wrong for locksmiths without a proper system.

Calls are dispatched from memory

Technicians are spread across an area, and the dispatcher keeps their positions in his head. The nearest available person is not always the one sent.

Key records are held on paper

Keycodes, master key charts and issue lists sit in a book or a spreadsheet. Anyone with access to the file can read them.

Proof of customer authority is not recorded

A technician is asked later who authorised the opening. The identity check and the note made at the door are held in a text or not at all.

Van stock does not match purchases

Blanks, cylinders and hardware are bought and used without a count. The cost of a job is guessed, and shortages appear mid-call.

Contract visits are scheduled separately

Commercial customers have service visits, rekeying schedules and key audits. They live in a diary apart from the emergency calls.

What the software does

What we would build for locksmiths.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Call intake and dispatch

Log each call with address, lock type and urgency, then send the nearest available technician and keep the customer informed of arrival.

Job cards with identity checks

Record the work done, the person who authorised it and how their right to the property was checked, with photographs where needed.

Key and keycode register

Hold key systems, keycodes and issue lists for each site behind restricted roles, with every view and change written to an audit log.

Stock of blanks and hardware

Track blanks, cylinders, locks and hardware received, issued to each van and used on a job, with reorder levels for common lines.

Commercial contracts and visits

Hold service agreements for offices and residential blocks with visit dates, key audits and renewal dates, and book each visit in advance.

Quotes, invoices and payments

Quote fitted locks from the price sheet you already use. Collect card or cash on the doorstep, or invoice account customers later.

Common questions

Questions locksmiths ask before they call.

Can keycodes be kept private?

Yes. Only the roles you pick can open keycode and master key records. Each view and edit leaves a log entry. Permissions for every role are settled with you during rollout.

Can the office see where technicians are?

Not by tracking. The system holds each technician’s area and open calls, and dispatch picks from that. Live location is not built in.

Does it handle emergency and planned work together?

Yes. An emergency call is a short job with a quick dispatch, and a contract visit is a booked job on the schedule. Both end in the same job record and invoice.

Can we record how we verified a customer?

Yes. The job card holds a field for the check made and the person who authorised the work. Your own verification rules are what the field records, and we talk them through with you when the system is introduced.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
